Medical Front Desk Receptionist

We are seeking a full- time Medical Front Desk Administrative Assistant at our Philadelphia, PA location.Candidates must project a warm, confident and professional image in-person and over the phone. Candidates must be outgoing, personable, flexible and extremely organized. Accuracy and attention to detail is critical. Willingness to learn and desire to grow the practice is essential.Key Responsibilities:Answer incoming e-mails, phone calls and voicemailsSchedule appointmentsGreet clients/donors upon arrival, confirms necessary personal information, and notifies clinical staff of client arrivalChecks in donors and client depositorsWork with Site Manager, Laboratory Supervisor, Storage Manager, and DD Coordinator to perform storage coordination for clientsCreate new clients in GEMSCreate charts for new client depositors and transfer storage clients (semen, embryos, oocytes)Prepare intake paperwork for receiving transfer storage client samplesPlace orders for client samples (semen and embryos) from storageInvoicing clientsShipping and courier related tasks: paperwork, scheduling, tracking, etcScanning Client and Donor paperworkFiling Client and Donor paperworkMaintain inventory of office and breakroom suppliesMaintain orderliness of client and donor waiting roomsAssist Laboratory staff with paperwork preparation as neededOther Administrative duties as neededOther Responsibilities:Second verifier during inventory or outgoing shipments as neededMaintain orderliness of breakroomKnowledge:Front desk office experience or equivalent experience in Customer ServiceSkills:Strong computer skills (Microsoft programs)Good verbal communication skillsAbilities:Ability to multi-task in a fast-paced environmentStrong organizational and problem-solving skillsPosition Requirements:High School Diploma required. Associate's or Bachelor's degree in health care related field preferred.Must have basic customer service skills, be LGTBQX friendly, and comfortable working with diverse clienteleSalary is commensurate with experience.
