Customer Operations Coordinator

HiPo Talent Partners is partnering with a growing food manufacturer in the northern suburbs of Chicago to identify a Customer Operations Coordinator . This is an excellent opportunity for someone who enjoys working at the intersection of customer service, operations, and supply chain while helping a growing business deliver an exceptional customer experience.
This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in ensuring orders move seamlessly from receipt through delivery. You'll partner with Sales, Manufacturing, Warehouse, Logistics, and Finance while helping improve processes and support the company's continued growth.

Reporting to the Chief HR & Operations Officer, you'll play a key role in supporting customers across retail, distribution, eCommerce, and marketplace channels.
What You'll Do
Customer & Order Management

• Process and manage customer orders across multiple sales channels
• Serve as a primary point of contact for customer questions related to orders, shipments, inventory, and fulfillment
• Resolve order discrepancies, shipping issues, deductions, and customer inquiries
• Support key retail and eCommerce customers, including Amazon, Walmart, distributors, and other strategic partners

Operations Coordination

• Partner closely with Manufacturing, Warehouse, Logistics, Sales, and Finance to ensure accurate and timely order fulfillment
• Monitor customer orders and proactively communicate updates or potential issues
• Help maintain smooth communication across departments to meet customer expectations

Systems & Data Management

• Maintain accurate customer, product, pricing, and order information within ERP, EDI, and customer systems
• Support EDI transactions, including purchase orders, invoices, ASNs, and retailer compliance requirements
• Ensure data accuracy across business systems and customer portals

Process Improvement

• Identify opportunities to improve workflows and reduce manual processes
• Support ERP and operational improvement initiatives
• Assist with documentation, reporting, and process standardization as the company continues to grow

What We're Looking For

• 2+ years of experience in customer service, customer operations, order management, supply chain, or business operations
• Experience within food manufacturing, CPG, distribution, or retail environments preferred
• Familiarity with ERP systems, EDI transactions, or order management platforms
• Experience supporting major retailers, distributors, or eCommerce customers is a plus
• Strong organizational skills and attention to detail
• Excellent communication and problem-solving abilities
• Comfortable managing multiple priorities in a fast-paced environment
• Proficiency with Microsoft Excel and business systems
