SUMMARY
The Office Manager performs a wide variety of assignments from confidential to supervisory with minimal supervision on behalf of the principal.

MINIMUM REQUIREMENTS
  • Three to five years of progressive clerical/administrative assistant experience
  • Associates Degree in related field preferred or High school diploma or general education degree (GED)
  • Computer Skills (Microsoft office)
  • Related training or experience.
ADDITIONAL REQUIREMENTS AFTER HIRE
AZ DPS Identity Verified Print (IVP) Fingerprint Card required at hire.


ESSENTIAL FUNCTIONS
THE LIST OF ESSENTIAL FUNCTIONS IS NOT EXHAUSTIVE AND MAY BE SUPPLEMENTED.
  • Maintain databases and spreadsheets.
  • Generate periodic reports.
  • Answer phones, route calls, and take messages.
  • Coordinate, copy, and distribute periodic newsletters, flyers, and mailings.
  • Register students.
  • Schedule substitute teachers and provides support.
  • Greet and direct students and visitors to appropriate person or place.
  • Serve as a resource to students, staff, and public.
  • Communicates to employees, information regarding changes to District policies, benefits, and other employment issues.
  • Maintain site activity calendar, including scheduling school events.
  • Provide clerical support to the principal.
  • Assist in scheduling paraprofessionals.
  • Maintain an organized and visually pleasant office.
  • Streamline office procedures and paper flow.
  • Maintain student records and process record requests.
  • Maintain a daily teacher attendance log and appropriate records for substitute teachers.
  • Assist in preparing the supply and equipment budget for the office.
  • Monitor and track purchase orders.
  • Monitor and track classified time sheets.
  • Order supplies.

MARGINAL FUNCTIONS
May receive and respond to calls from parents regarding student absences. May collect and deposit fundraising money. May monitor personnel working shifts and night custodians.

MENTAL TASKS
Communicates. Comprehends. Composes. Evaluates written material. Reads. Performs functions from written and oral instructions.

PHYSICAL TASKS
Work involves the performance of duties where physical exertion is not normally required to perform all aspects of the job. Assistance is available as required to perform physically demanding tasks. Work involves sitting for extended periods of time, requires moving from one location to another, reaching, stooping, bending, and holding and grasping objects. Visual weakness must not prohibit the performance of assigned duties. Verbal communicative ability may be required of public contact positions.

EQUIPMENT, AIDS, TOOLS, MATERIALS
Operates standard office equipment such as computers, copiers, telephones, and fax machine.


WORKING CONDITIONS
Indoor. Office environment. Contact with students, parents, employees and public.

Monitor support staff.
