The agency has over 70 programs, including valuable educational, housing, and emergency services.Internship Description:The Weatherization Administrative Specialist Intern will support the daily administrative operations of the Weatherization program, including both single family and multifamily projects. This role provides hands on experience in program coordination, data management, and compliance within a community development and energy efficiency setting. The intern will assist in ensuring accurate documentation, timely processing of files, and effective communication across teams.Interns Essential Functions:Administrative ResponsibilitiesAssist with organizing and maintaining client and project files for both single-family and multifamily Weatherization projectsSupport data entry and updates in systems such as EmpowOR, SharePoint and internal tracking toolsReview work orders, invoices, and supporting documentation for completeness and complianceTrack job progress from intake through completion and closeout, including multifamily projectsCoordinate with internal teams (auditors, inspectors, construction accounting) to gather missing documentationAssist with scheduling appointments, maintaining program calendars and email accounts.Support preparation for monitoring, reporting, and audits (DOE, state, and local requirements)Communicate with clients, property managers, internal staff and contractors as needed to obtain information or provide updatesParticipate in contractor meetings to help track action items, timelines, and project updatesAssist with compiling documentation required for multifamily project approvals and closeoutsPerform general administrative tasks including scanning, filing, and document preparationLearning ObjectivesGain knowledge of Weatherization and Water Conservation programs and federal/state compliance requirementsUnderstand the lifecycle of both single-family and multifamily Weatherization projects from intake to closeoutDevelop skills in data management, file review, and quality controlLearn how to coordinate across departments and external partnersBuild professional communication and organizational skillsQualified candidates:Currently enrolled in or recently graduated from a program in Public Administration, Business, Construction Management, Environmental Studies, or a related fieldStrong organizational and time management skillsAttention to detail and ability to manage multiple tasksBasic proficiency in Microsoft Office (Excel, Word, Outlook)Interest in community development, sustainability, energy efficiency or housing programsFamiliarity with data entry systems or case management toolsAbility to work in a fast-paced, team-oriented environmentPhysical Requirements:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job operates in a professional office environment with a usually quiet noise level. This is largely a sedentary role and the employee must occasionally lift and/or move up to 25 pounds.
