Job Summary

We are seeking a detail-oriented and tech-savvy Customer Service Specialist to join our growing 3PL warehouse operations . In this role, you will serve as the primary bridge between our clients and our warehouse floor. The ideal candidate brings a unique blend of excellent client communication, sharp bookkeeping experience, and advanced computer literacy . Key Responsibilities

Client Relations & 3PL Support

• Account Management: Serve as the main point of contact for assigned 3PL clients regarding inventory, orders, and shipping status.
• Order Processing: Receive, verify, and input incoming customer orders into our Warehouse Management System (WMS).
• Issue Resolution: Investigate and resolve client inquiries regarding shipping discrepancies, damages, or delays with a helpful and professional attitude.

Bookkeeping & Billing (Excel-Intensive)

• Storage & Logistic Invoicing: Calculate monthly 3PL storage fees, accessorial charges, and handling fees using automated systems and manual spreadsheets.
• Data Management: Utilize advanced Microsoft Excel functions (e.g., VLOOKUPs, Pivot Tables, formulas) to audit inventory data and generate accurate billing reports.
• Account Reconciliation: Match warehouse shipping manifests against client invoices to ensure zero billing leakage.
• Accounts Receivable: Assist with tracking client payments, aging reports, and following up on overdue balances.

Computer Literacy & Administration

• System Management: Navigate daily between our WMS, accounting software (e.g., QuickBooks), and freight carrier portals.
• Process Documentation: Maintain clean digital files and update standard operating procedures (SOPs) for client billing profiles. 

Requirements:

Qualifications & Skills Required

• Experience: Minimum of 2–3 years in a logistics, 3PL, or warehouse office environment combined with administrative bookkeeping duties.
• Excel Mastery: High proficiency in Microsoft Excel is mandatory (ability to organize mass data, format sheets, and use complex formulas).
• Financial Literacy: Solid understanding of basic accounting principles (invoicing, accounts receivable, and data auditing).
• Tech-Savvy: Fast learner with digital tools; comfortable troubleshooting basic software integrations.

Preferred

• Experience operating specialized Warehouse Management Systems (WMS) or Enterprise Resource Planning (ERP) software.
• Experience using accounting software like QuickBooks or Xero .

Physical Requirements & Working Conditions

• This is a standard office desk role located within a fast-paced warehouse facility.
• Must be comfortable working in a loud environment occasionally when walking onto the warehouse floor.
