We are looking for an organized Accounting Assistant to support financial and administrative operations for an active construction project in Wheatfield, Indiana. This Long-term Contract position combines accounting coordination, subcontractor document tracking, and office support to help keep project records accurate and workflows moving efficiently. The ideal candidate is comfortable working with spreadsheets and construction management systems while collaborating with field teams, vendors, and subcontractors.

Responsibilities:

• Maintain spreadsheets and project records to support daily accounting, invoice tracking, and administrative reporting.

• Communicate with subcontractors to obtain contract details, compliance documents, waivers, and other required project information.

• Manage document control activities in Procore, including uploading drawings, maintaining subcontractor files, updating user access, and tracking contract documentation.

• Support monthly billing and cost review processes by organizing workday records, reviewing expenses, and assisting with invoice backup documentation.

• Monitor subcontractor pay application requirements in Textura and follow up on missing paperwork needed for payment processing.

• Track open cost logs, identify discrepancies, and consolidate supporting information for monthly project cost discussions and budgeting review.

• Coordinate office operations such as correspondence, filing, scanning, copying, supply ordering, badge printing, and preparation of project documents.

• Arrange administrative logistics for site activities, including visitor access, orientation scheduling, housekeeping coordination, and team events as needed.

• Assist with change event documentation, closeout records, daily work ticket tracking, and ongoing updates to project procedures and administrative processes.

The salary range for this position is $23/hr to $25/hr. Benefits available to contract/temporary professionals, include medical, vision, dental, and life and disability insurance. • Experience supporting accounting or project administration within construction, contracting, or a related industry.
• Working knowledge of accounts payable, accounts receivable, invoice coding, and bank reconciliation processes.
• Proficiency with Excel and the ability to manage detailed spreadsheets and financial tracking logs.
• Familiarity with construction management or accounting platforms such as Procore, Textura, QuickBooks, or similar systems.
• Ability to follow up with subcontractors and vendors regarding agreements, compliance items, and payment-related documentation.
• Strong organizational skills with close attention to accuracy when handling contracts, invoices, and project records.
• Effective written and verbal communication skills for coordinating with internal teams, subcontractors, and site visitors.
