Inventory and Title Specialist

Keep the paperwork moving. Keep the dealership running smoothly. Kocourek Automotive is looking for a dependable, organized Inventory & Title Specialist to join our team! If you’re someone who loves organization, catches the details others miss, and takes pride in getting things done right, this could be a great fit for you. In this role, you'll help keep dealership sales, title, service, and wholesale documentation accurate, organized, and moving through the process. You’ll work closely with F&I and the dealership office team to make sure paperwork is complete, properly documented, and filed. What You'll Do * Review completed deal jackets and make sure required paperwork is accurate, complete, and properly organized. * Communicate missing or incorrect documentation to the F&I team and help keep deals moving. * Create and organize new deal jackets for traded-in vehicles. * Maintain and update the DOT log. * Update title flags and applicable vehicle information in Tekion. * Scan and electronically file completed deals and repair orders. * Verify scanned documents are clear, complete, and properly filed before shredding physical documents. * Process wholesale deal recaps and intercompany deals as they are received. * Track missing paperwork and help resolve documentation discrepancies. * Handle customer and dealership information with a high level of confidentiality and professionalism. * Provide general administrative support to the dealership office as needed. What We're Looking For You don't need to know everything about the automotive business—but you do need to care about getting the details right. We're looking for someone who: * Is highly organized and detail-oriented. * Can manage multiple tasks without losing track of the details. * Communicates clearly and follows through. * Is dependable and takes ownership of their work. * Is comfortable working with paperwork, computers, and electronic records. * Enjoys a structured environment where accuracy matters. * Works well with a team and is willing to jump in where needed. Automotive or dealership office experience is a plus. Experience with Tekion or another DMS is preferred, but we'll provide training to the right person. Hours required is Monday-Friday 8-4:30, no weekends, or holidays. You'll play an important behind-the-scenes role in making sure deals are properly documented, information is accurate, and the dealership office stays on track.
