Job Overview
Primrose School of Aliana is seeking a highly organized, proactive, and operationally strong Operations Coordinator to join our School Leadership Team.

This is a leadership-level operations role for someone who thrives on keeping a childcare center organized, compliant, appropriately staffed, and running smoothly every day. The Operations Coordinator will work closely with the School Director, Education Coach, and Ownership Team, with primary accountability for school operations, Texas Child Care Licensing compliance, staffing coordination, employee relations, health and safety, facilities, and administrative execution.

The ideal candidate is a hands-on leader who notices problems before they become problems, follows through without constant direction, holds others accountable professionally, and is comfortable moving throughout the school rather than managing operations exclusively from an office.

Key Responsibilities

School Operations & Licensing

• Ensure ongoing compliance with Texas Minimum Standards, Primrose Schools standards, and applicable health and safety requirements . 
• Conduct regular operational, classroom, ratio, safety, and compliance checks. 
• Maintain licensing documentation and ensure required records are complete, current, organized, and inspection-ready. 
• Coordinate and maintain required emergency drills, incident documentation, medication records, inspections, certifications, and compliance calendars. 
• Serve as a key point of contact for licensing representatives, inspectors, vendors, and other operational partners. 
• Identify compliance or operational concerns promptly and ensure corrective actions are completed. 

Staffing & Employee Relations

• Coordinate daily staffing and classroom coverage to maintain ratios and meet operational needs.
• Monitor attendance, punctuality, scheduling, breaks, call-outs, and staffing coverage. 
• Support recruiting, interviewing, onboarding, orientation, and training of new employees. 
• Maintain employee files, training records, certifications, and required employment documentation. 
• Partner with the Director and Ownership Team on employee coaching, counseling, performance concerns, attendance issues, and corrective action. 
• Help establish a culture of accountability, professionalism, teamwork, reliability, and strong communication . 
• Address day-to-day employee concerns promptly and professionally while escalating significant matters appropriately. 

Health, Safety & Facility Operations 

• Help ensure the school remains safe, clean, organized, and inspection-ready at all times.
• Conduct routine facility and safety walkthroughs and follow through on identified issues. 
• Coordinate maintenance requests, repairs, vendors, inspections, and operational supplies. 
• Ensure required health, sanitation, supervision, transportation, and emergency procedures are consistently followed. 
• Support accurate accident/incident reporting and appropriate follow-up. 
• Maintain accountability for operational supplies, equipment, and school assets. 

Administrative & Operational Management 

• Maintain accurate operational records, reports, calendars, checklists, and documentation.
• Ensure operational systems and school management tools are used consistently and accurately. 
• Assist with staff scheduling, payroll/timekeeping review, purchasing, inventory, and expense documentation. 
• Track operational deadlines and ensure assigned action items are completed on time. 
• Develop and improve procedures, checklists, and workflows that make school operations more efficient and consistent. 
• Provide Ownership and school leadership with timely updates on staffing, compliance, safety, facility, and operational concerns. 

Leadership Team Responsibilities
As a member of the School Leadership Team, the Operaitons Coordinator will also:

• Maintain a strong, visible leadership presence throughout the school.
• Help lead staff meetings, training, onboarding, and professional development. 
• Support family concerns and customer service matters when leadership assistance is needed. 
• Assist with tours, enrollment, school events, and family engagement as needed. 
• Support classrooms when necessary to maintain ratios and continuity of care. 
• Partner with the Director and Education Coach to maintain high standards across the entire school. 
• Serve as a leadership resource for teachers and staff and help reinforce school policies and expectations. 
• Step into other leadership responsibilities when operational needs require. 

What Success looks Like
The successful Operations Coordinator will ensure that:  

• The school is licensing-ready and inspection-ready every day , not just when an inspection is expected.
• Classrooms remain appropriately staffed and ratios are proactively managed. 
• Employee attendance, performance, and operational issues are addressed promptly rather than allowed to linger. 
• Required staff training, certifications, and personnel documentation remain current. 
• Incidents, drills, safety checks, and compliance documentation are completed accurately and on time. 
• Leadership commitments and operational action items consistently receive follow-through. 
• Staff understand expectations and are held accountable fairly and professionally. 
• The facility remains safe, organized, functional, and professional. 
• The other Leadership Team members are able to focus more effectively on their respective priorities because operational execution is being consistently managed. 

Qualifications 

• 4+ years of leadership, administrative, or operational experience in a licensed childcare center, preschool, or early education environment preferred.
• Strong working knowledge of Texas Child Care Licensing Minimum Standards strongly preferred. 
• Previous experience as an Assistant Director, Director, Operations Manager/Coordinator, or similar childcare leadership position strongly preferred. 
• Texas Child Care Director Credential is preferred but not necessarily required, depending on experience and role designation. 
• Strong experience with staffing, employee relations, scheduling, compliance, documentation, and day-to-day center operations. 
• Excellent organizational skills and exceptional attention to detail. 
• Strong judgment, follow-through, and problem-solving ability. 
• Comfortable having difficult but professional conversations and holding employees accountable. 
• Strong written and verbal communication skills. 
• Proficient with Microsoft Office, email, reporting systems, and childcare management technology. 
• CPR and First Aid certification or ability to obtain upon hire. 
• Must meet all applicable Texas childcare background and employment requirements. 
• Must be willing and able to provide classroom support when operationally necessary.

Schedule & Expectations
This is a full-time, in-person leadership position and is not an office-only role.

The Operations Coordinator must have sufficient schedule flexibility to support the operational needs of the school. Occasional early mornings, later evenings, school events, training days, or other extended hours may be required.
