Inventory Coordinator

The Inventory Coordinator is responsible for receiving, reserving, and maintaining inventory across all warehouse locations. This role ensures the integrity and accuracy of inventory transactions, coordinates inventory purchases, and works closely with Account Management and Logistics teams to ensure customer orders are fulfilled accurately, on time, and in compliance with all product requirements. The ideal candidate is highly organized, detail-oriented, and capable of working in a fast-paced environment while maintaining strong communication and problem-solving skills.

Essential Duties:

• Receive and verify inbound product across warehouses, ensuring accuracy of lot numbers, pack dates, and shelf life
• Maintain high levels of inventory accuracy across systems and physical inventory
• Reserve inventory in real time against open customer orders using available and incoming product
• Monitor daily order status to support a 100% fill rate and proactively escalate shortages, overages, or product concerns
• Create, process, and reconcile transfer orders between warehouse locations
• Ensure timely and accurate system updates reflecting inventory transfers and movements
• Maintain alignment between physical inventory and system inventory records
• Partner with Inventory Supervisor to perform weekly and monthly inventory reconciliations
• Research and resolve inventory discrepancies while identifying root causes and corrective actions
• Process vendor and warehouse claims within required timelines
• Coordinate product samples for QA testing, customer requests, and food shows
• Support product quality initiatives and communicate product concerns appropriately
• Coordinate USDA and USDC inspection requests and certifications with warehouse teams
• Ensure compliance with all required regulatory documentation and processes
• Support inventory reporting and departmental metrics by maintaining accurate inventory data
• Monitor and track label inventories, box inventories, and inventory performance trends
• Provide backup support to Logistics Coordinators as needed
• Collaborate with Account Management, Logistics, Procurement, and warehouse teams to support operational readiness
• Adhere to company policies, departmental SOPs, and all applicable federal and state regulations
• Promote a positive, solutions-oriented work environment through cross-functional collaboration

Qualifications:

• High School Diploma or GED required
• Intermediate proficiency in Microsoft Outlook, Word, and Excel
• Strong communication skills with the ability to communicate professionally both verbally and in writing
• Ability to read, write, and understand grammatically correct English
• Strong attention to detail and organizational skills with consistent follow-through
• Ability to perform basic math calculations and percentages
• Strong analytical and problem-solving skills
• Ability to remain calm and professional in fast-paced or stressful situations
• Ability to work independently and collaboratively within a team environment

Preferred:

• Previous inventory coordination, logistics, warehouse, or supply chain experience
• Experience with inventory management systems or ERP software
• Food distribution, wholesale, or cold storage industry experience preferred
• Bilingual Spanish a plus

Physical Requirements:

• Ability to travel locally and outside the local area as needed
• Frequently required to sit for extended periods while performing deskwork or computer tasks
• Regularly required to hear and speak effectively for communication purposes
• Ability to stand, walk, and climb stairs throughout warehouse and office facilities
• Ability to handle materials, reach overhead, kneel, and stoop as required
