About the Opportunity The Special Projects Manager provides substantive, strategic, and administrative support to the CEO of Too Small to Fail (TSTF), the early childhood initiative of the Clinton Foundation, and the TSTF team. This includes calendar and meeting management, communications assistance, correspondence, and logistical support. The Special Projects Manager triages internal and external requests to prioritize them with respect to the initiative's priorities, responsibilities, organization-wide goals and deadlines, and manages discrete TSTF projects.
This role assists the CEO to maximize their time on high-level items by using discretion in scheduling and meeting arrangements; acts as a partner to CEO and members of the Senior Leadership Team; and learns the Foundation's processes and history to enhance that partnership. The Special Projects Manager also provides support to improve cross-departmental cohesion and effectiveness. The Special Projects Manager proactively manages routine and ad hoc special projects including event preparation, quarterly board meeting preparation, Foundation-wide projects, and co-managing and/or supporting programmatic work. This role will have a birds-eye-view of TSTF's work and priority projects will include donor and partner research, supporting the creation of grant applications and final reports, communications assistance, contracting, managing expenses, logistical support, and strategic planning.

Our best estimate of the compensation range for this opportunity is $68,500 - 78,500 annually, depending on the experience you bring. This role is not eligible for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely. Core Responsibilities Executive Administrative Support to the CEO and TSTF Team
- Proactively and effectively manage the TSTF CEO's schedule and activities to reflect most current programmatic priorities; maintain regularly scheduled meetings and schedule ad hoc meetings
- Prepare research and briefing documents ahead of meetings and engagements as needed
- Support the logistics, prepare materials, and organize files for the TSTF CEO's meetings, and other TSTF meetings as needed
- Participate in meetings to take minutes and track follow up
- Coordinate travel arrangements, prepare travel & expense (T&E) reports, and reconcile corporate card expenses in accordance with the Foundation's T&E policies
- Compose, edit, and proof correspondence, proposals, briefs, reports, and other materials for programming, development, and governance purposes
- As assigned, conduct research on and manage special projects on behalf of the TSTF CEO and team
- Execute day-of logistics for in-person meetings and events; track follow up of resolutions and next steps
- Prepare TSTF Advisory Council materials from inception to final copy for annual Council meetings, execute day-of-meeting logistics, and track follow up of resolutions, next steps, and further communication with the Council
- Assist the initiative with ad hoc events and serve as a utility player where TSTF needs additional strategic, substantive, and administrative support
- Create contracts, agreements, and MOUs with partner organizations and the Foundation's legal department
- Coordinate with TSTF vendors to track orders for Talking is Teaching-related products and process payments invoices for vendors and consultants
- Facilitate and respond to interdepartmental requests related to TSTF metrics, impact, and contracts; proactively collaborate with programs and departments to revise and improve standard operating procedures (SOPs), as needed
- Respond to general partner emails and external requests that are sent to TSTF General inbox and the TSTF CEO
What we're looking for:
- Bachelor's degree or equivalent work experience required
- At least 6 years of professional experience in the field in positions of increasing responsibility. At least 1 of those years must have included either managing people or managing projects to completion required
- Administrative experience working with a senior leader preferred
