Health Information Specialist

Job Summary The Health Information Specialist I is responsible for processing health information and medical records under the direction of the HIM Director or supervisor. Key functions include collecting, delivering, retrieving, prepping, scanning, and filing medical records, as well as assisting physicians and ancillary staff with health information requests. The role requires accuracy, organization, effective communication, and adherence to confidentiality and regulatory standards. Responsibilities Safeguard and preserve confidentiality of patient protected health information in compliance with HIPAA and organizational policies. Retrieve discharged patient records and old records from various units and follow up on missing records. Process inpatient and outpatient medical records according to established procedures. Prepare medical records and documents for scanning, including verifying document accuracy and quality. Perform scanning and quality checks of medical reports. Maintain and clean scanning equipment as per department policy. Answer telephone calls and direct them to appropriate department areas. Log and track medical charts requested to ensure proper location management. Assist with ongoing projects and other related duties as assigned. Adhere to daily production standards and departmental policies. Communicate effectively with customers of all ages and maintain professionalism. Maintain a safe, neat, and orderly workstation environment. Required Skills & Certifications High school diploma or GED. Knowledge of Windows software. Basic computer and keyboarding skills with a typing speed of 30 wpm. Effective communication and interpersonal skills. Ability to maintain accuracy and attention to detail despite frequent interruptions. Legible writing and printing skills. Preferred Skills & Certifications Familiarity with electronic medical record (EMR) systems. Knowledge of medical terminology. Previous experience in a Health Information Management department or medical office. Valid California driver's license, motor vehicle insurance, and current vehicle registration. Special Considerations Strict adherence to patient confidentiality and HIPAA regulations. Ability to work in a high activity area requiring focus and organization. Must follow all compliance requirements and perform duties ethically consistent with organizational values.
