The Administrative Specialist plays a central role in ensuring newcomers and community partners receive timely information, support, and connections as they rebuild their lives. This hybrid position supports daily office operations, client engagement, and community outreach while embodying the IRC’s core values of Integrity, Service, Accountability, and Equality. Position Overview The Administrative Specialist serves as a primary point of contact for clients, visitors, and community partners within the Kansas City program area. The position provides essential administrative support, assists in coordinating community engagement activities, and ensures effective communication between IRC staff, clients, vendors, and volunteers. The role also supports initial client intake and basic referrals for individuals not enrolled in case management programs, making it essential to daily program flow and client experience. Key Responsibilities The Administrative Specialist contributes to both front-office operations and community engagement initiatives. Core responsibilities include: Greeting staff, clients, and guests in person or by phone with professionalism and warmth, ensuring that visitors feel supported and welcome. Responding to inquiries and directing clients or partners to the appropriate staff member or program. Supporting the Adjustment and Referral Specialist in conducting initial intakes to assess client needs and connect them to eligible services. Assisting clients in linking to educational, health, and social service resources, while helping them overcome basic barriers and pursue their individual goals. Providing administrative assistance in various office functions, including minor logistics, supply coordination, and vendor communications related to office materials, signage, visibility items, and printed materials. Supporting community engagement activities, such as tabling events, volunteer referrals, presentations, and development of informational tools, templates, and fact sheets. Accompanying or supporting the Community Engagement Coordinator at meetings, outreach events, and local community forums where the IRC is represented. Participating in staff development activities and contributing actively to team collaboration. Complying with all IRC policies, protocols, and safeguarding standards. This position requires a combination of administrative capability, client-facing communication, and collaborative teamwork, contributing meaningfully to both office efficiency and frontline service delivery. Required Qualifications and Experience Candidates should meet the following minimum requirements: A high school diploma or GED is required; a bachelor’s degree is preferred. At least one year of directly related professional experience, ideally in customer service or a client-support role. Demonstrated ability to work effectively with individuals from diverse cultural and linguistic backgrounds. Strong interpersonal, diplomacy, and relationship-building skills. Attention to detail, strong organizational skills, and the ability to manage time and tasks effectively. Proficiency in English (written and spoken); additional languages common among client communities are highly desired. Capability to use Microsoft Office tools (Word, Excel, Outlook) and general digital tools for data entry, research, and problem-solving. The ideal candidate demonstrates initiative, cultural humility, strong communication skills, and the ability to contribute to a collaborative, mission-driven environment. Working Environment and Compensation This is a full-time hybrid position based in Kansas City, Kansas. The role operates primarily in a standard office environment with occasional community-based activities. Compensation ranges from $20.00 to $21.50 per hour , depending on experience, location, and alignment with job requirements.
