Role Introduction As an Office Assistant at Eastern Irrigation, you’ll be a dependable operational backbone supporting customer-facing teams, warehouse coordination, and back-office workflows. You’ll manage day-to-day administrative tasks, help process orders and returns, support our Pro Account members, and ensure smooth communication between sales, logistics, and suppliers. This role is ideal if you’re organized, customer-focused, and enjoy contributing to a growing e-commerce and wholesale operation that serves contractors and homeowners alike. Responsibilities Manage day-to-day administrative tasks including data entry, filing, calendar coordination, and internal communications to keep operations running smoothly. Process and track customer orders, returns, and exchanges in our order management system while coordinating with warehouse and shipping partners to ensure timely fulfillment. Provide friendly, professional support to Pro Account members and retail customers via phone, email, and chat—answering product questions, resolving issues, and escalating more complex requests. Coordinate with vendors and internal teams to follow up on inventory levels, backorders, and purchase orders, helping maintain accurate product availability data. Prepare and maintain accurate reports and logs (sales summaries, shipment statuses, inventory adjustments) to support leadership and continuous improvement. Support marketing and education efforts by helping manage content uploads, product catalogs, and promotional materials in our e-commerce systems. What You Bring 2+ years of administrative, customer service, or operations experience in e-commerce, wholesale, or logistics environments (or equivalent transferable experience). Strong written and verbal communication skills with a customer-first mindset and professional phone/email etiquette. Proficiency in Google Workspace and Microsoft Office; comfortable learning new internal systems (ERP/WMS/order management). Exceptional organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced, multi-channel business. A proactive problem-solving attitude and the ability to collaborate cross-functionally with warehouse, sales, and vendor teams. Reliable remote work practices, time management, and a flexible approach to occasional on-site coordination or meetings. Nice to Have Experience with e-commerce platforms or order management systems (Shopify, Magento, NetSuite, or similar). Familiarity with irrigation, landscaping, or construction product categories and common industry terminology. Experience using CRM or helpdesk tools (Zendesk, Salesforce) to manage customer interactions and tickets. Bilingual communication skills (English/Spanish) to support a diverse customer base. Basic familiarity with shipping carriers and logistics operations (UPS, FedEx, LTL) and claims processes.
