Events Specialist 2

Position Summary We are seeking a Programs and Administration Coordinator to serve as our events lead and assist with office management. The role involves organizing events, coordinating travel, ordering catering, setting up and tearing down event spaces, and managing audio/video needs. The position is hybrid with an expectation of on-campus work a minimum of three days a week. Some evenings, early mornings, and weekend workdays may be required for events. Responsibilities Coordinate and manage a large number of complex projects; establish priorities, create and maintain calendars and schedules, work under time constraints to meet deadlines. Perform detailed work with a high degree of accuracy and attention to detail; independently organize and prioritize work. Problem solve through gathering data, analyzing and synthesizing information, generating alternative solutions, and implementing innovative and creative solutions to enhance operational processes. Collaborate with colleagues at all levels within the organization. Communicate effectively, graciously and professionally with faculty, administration, staff, students, visiting scholars and fellows, donors, volunteers and members of the public. Interpret university procedures, policies, and administrative guidelines appropriately. Execute high-profile events, coordinating complex logistics with internal and external participants. Perform working knowledge of University accounting policies and procedures (preferred). Apply accounting principles and practices to design and manage financial accounting and reporting systems. Conduct financial analysis, budget preparation, and administration of budgets, including forecasting and controlling expenditures related to events and programming. Project budget costs, coordinate multiple projects, adapt programmatic objectives to changes in resources and establish priorities. Education, Licenses, Certifications & Personal Affiliations Bachelor's Degree in a related area and/or equivalent experience/training. Salary & Compensation UCLA provides a full pay range. Actual salary offers consider factors including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Salary offers at the top of the range are not common. Benefits Union/Policy Covered: 99-Policy Covered. Salary begins with full benefits on day one.
