Financial Office Administrator Duties:

  1. Financial and fiduciary management
    1. Process payroll per Personnel Policy 
    2. Reconcile Quickbooks monthly
    3. Keep financial records per Kansas law requirements
    4. Maintain payments for ECM subscriptions
    5. Maintain financial records forms
      1. Forms can be found at Current forms
    6. Assist Board Treasurer with financial reports and other duties, as requested by Treasurer with Campus Pastor approval 
  2. Correspondence and database
    1. Handle correspondence, as requested by Campus Pastor
    2. Produce reports as needed by the Board and Pastor
    3. Assist Campus Pastor in monitoring completion of tasks by Board and interns
    4. Maintain paper and electronic filing systems and regularly backup electronic files for financials
    5. Organize, update, and maintain ECM Google Drive records
  3. ECM Center
    1. Be the staff member to assist with student needs in the ECM Center
    2. Be a member of the Building Committee
    3. Assist Building Committee with Center upkeep
    4. Maintain ECM cleanliness and organization per Campus Pastor’s standards
    5. Maintain printers, and WiFi access
    6. Take the trash and recycling out, if intern does not or is not present
    7. Ensure that trash and recycling is removed from the Center and is taken to the curb on trash pick-up days.
    8. Keep the Center’s SOPs up to date
    9. Maintain Center supplies
    10. Purchase non-food office and Center supplies 

*Other duties, as assigned by Chair of the Board and Pastor.

Work Schedule

The Financial Office Administrator works 20 hours/week, on-site, Monday through Friday 1:30-5:30pm. Attend weekly meetings with ECM staff. Attend a weekly meeting with the Campus Pastor.

Prerequisite skills

Proficiency in QuickBooks, Microsoft Word, Outlook, Excel, Social Media (TikTok, Facebook, Instagram, etc.), Google Calendar (Google Scheduling Software), or willingness to learn, is required. The successful candidate will be a self-starter with a gift for hospitality and able to work effectively in an office setting.

Accountability

The Financial Office Administrator is hired by the ECM Board of Directors, and supervised by the ECM Campus Pastor, who reports to the ECM Board of Directors. There will be weekly staff meetings, plus reviews per ECM’s Personnel Policy.

Compensation

$20/hour for 20 hours per week.
