Farm Parts Counterperson

Department: Parts Reports to: Parts Manager FLSA Status: Full-Time / Hourly / Non-Exempt Purpose The Farm Parts Counterperson is responsible for supporting farm parts sales in an agricultural equipment dealership environment by helping customers, service technicians, and equipment operators identify, order, and purchase the correct agricultural equipment parts, supplies, and related products. This position provides knowledgeable counter, phone, and internal parts support for farmers, commercial agriculture customers, and dealership departments while maintaining accurate inventory records, timely order follow-up, and a high level of customer service consistent with dealership standards. Essential Duties and Responsibilities Assist Dealership Customers: Greet and serve walk-in and phone customers promptly, including farmers, equipment operators, contractors, fleet customers, and retail parts customers. Support Farm Parts Sales: Recommend and sell agricultural equipment parts, maintenance items, fluids, filters, belts, bearings, hydraulic components, wear parts, and related supplies based on customer equipment needs. Identify Agricultural Parts: Use manufacturer parts catalogs, dealership business systems, diagrams, serial numbers, model information, and technical manuals to locate the correct parts for tractors, implements, harvesting equipment, tillage equipment, hay equipment, sprayers, compact tractors, utility equipment, and other farm machinery. Process Orders: Enter counter, phone, internal, and special orders accurately; process payments, returns, warranties, core charges, and customer pickup or delivery requests in accordance with dealership procedures. Support Service Department Needs: Work closely with service technicians and service advisors to supply parts for repair orders and customer equipment repairs in a timely manner. Maintain Inventory: Stock shelves, receive and bin parts, monitor seasonal agricultural demand, maintain inventory accuracy, and notify management of low stock, obsolete items, emergency needs, or discrepancies. Coordinate with Vendors and Internal Departments: Communicate with manufacturers, vendors, parts team members, service, sales, and warehouse personnel to ensure timely procurement and delivery of farm parts. Provide Customer Support: Answer questions, provide technical assistance, research part availability, follow up on back orders, and help resolve customer concerns related to agricultural parts and equipment maintenance. Maintain Records: Keep accurate records of quotes, invoices, special orders, returns, warranties, core charges, customer orders, and inventory transactions. Ensure Cleanliness and Organization: Maintain a clean, organized, and safe parts counter, showroom, warehouse, parts bins, and storage areas. Promote Sales and Customer Relationships: Suggest related parts, preventive maintenance items, seasonal stocking needs, and dealership services while building long-term relationships with farm and commercial customers. Strong knowledge of agricultural equipment, farm machinery, diesel engines, hydraulics, implements, and related replacement parts is preferred. Excellent customer service and communication skills, with the ability to assist farmers, equipment operators, technicians, vendors, and team members. Basic computer literacy and familiarity with inventory management, manufacturer parts lookup systems, and point-of-sale systems. Organizational skills and attention to detail, especially when handling part numbers, measurements, special orders, and seasonal inventory needs. Ability to work in a fast-paced environment and handle multitasking effectively, including busy planting and harvesting seasons. Team player with a positive attitude and willingness to support service, sales, warehouse, and customer needs. Physical ability to lift heavy parts, move inventory, and stand for extended periods. Education and/or Experience High School Diploma or Equivalent : A minimum educational requirement is usually a high school diploma or GED. Additional Preferred Qualifications Technical or Vocational Training: Courses related to agriculture, diesel technology, equipment repair, hydraulics, or mechanical parts can be advantageous. Basic Computer Skills: Familiarity with inventory management software, manufacturer parts lookup platforms, and point-of-sale systems. Experience with Agricultural Products: Experience with tractors, combines, balers, planters, sprayers, tillage equipment, skid steers, compact tractors, implements, and related farm parts is preferred. Knowledge and Skill Requirements Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services to agricultural, commercial, and retail customers. Agricultural Parts Knowledge – Ability to understand and identify farm equipment parts, wear items, filters, belts, bearings, hydraulic components, and related supplies. Speaking – Talking to others to convey information effectively and explain parts options clearly. Dependability – Being reliable, responsible, dependable, and fulfilling obligations, especially during peak agricultural seasons. Attention to Detail – Being careful about detail and thorough in completing tasks, including verifying part numbers, quantities, and customer equipment information. Cooperation – Being pleasant with others on the job and displaying a cooperative attitude with customers, technicians, vendors, and co-workers. Time Management – Managing one’s own time efficiently while balancing counter sales, phone calls, stocking, and order follow-up. Making Decisions and Solving Problems – Analyzing information and evaluating results to choose the best solution and solve customer parts needs. Certificates, Licenses and/or Registrations Certified Parts Specialist (CPS): - preferred Agricultural Equipment Parts or Manufacturer Training: - preferred when available Forklift Certification - preferred but offered Pay Structure $16-$19 hourly - based on experience Benefits Insurance benefits after first of the month following 60 days Work Environment The work environment is typically fast-paced and customer-focused, involving direct interaction with farmers, agricultural customers, vendors, service technicians, and team members. The role is primarily based in a parts counter, retail showroom, warehouse, or equipment dealership setting. Seasonal demand may increase during planting, hay, and harvest periods. The position requires standing for extended periods, lifting heavy parts, using parts lookup systems, and maintaining a clean and organized workspace. Physical Demands Ability to stand for extended periods of time while assisting customers and handling agricultural parts inventory. Frequent lifting, bending, reaching, pushing, and pulling to retrieve and stock parts, including heavy or awkward farm equipment components often weighing up to 50 pounds. Manual dexterity required for handling small parts, measuring components, operating tools, and using computer equipment. Ability to walk around the work area, warehouse, yard, or parts storage areas, and climb ladders or step stools as needed.
