The Assistant Program Director supports the Program Director in the day-to-day operations of the program, ensuring high-quality implementation of programming, staff supervision, participant engagement, and operational excellence. The Assistant Program Director coordinates daily program operations, supervises frontline staff, and supports the successful implementation of program activities while ensuring compliance with funder, agency, and regulatory requirements. Working collaboratively with the Program Director and Content Specialist, the Assistant Director helps ensure program operations run efficiently while maintaining a safe, welcoming, and engaging environment for participants, families, and staff. The Assistant Director may oversee daily operations in the Program Director's absence or as designated. Across the agency, our part-time staff play a crucial role in driving our initiatives forward by supporting daily operations, program delivery, and organizational goals. Reports to the Program Director.ROLE RESPONSIBILITIES:
Agency Expectations: Support agency initiatives by carrying out assigned duties accurately and efficiently, while following established processes and contributing to basic data collection, reporting, or documentation as required. Use agency resources responsibly by following established procedures, safeguarding equipment and materials, and/or supporting cost-effective operations. Work effectively with supervisors, coworkers, and cross-department teams to ensure clear communication, timely task completion, and a positive, respectful work environment. Follow all safety protocols, policies, and procedures to maintain a safe work environment for staff, partners, and the public, and promptly report concerns or incidents. Role Expectations: Daily Operations & Program Implementation: Support the day-to-day implementation of program operations and activities. Coordinate daily program logistics, participant transitions, staffing flow, and operational troubleshooting during assigned program hours. Coordinate staff coverage and schedule adjustments to ensure safe and effective program operations. Conduct attendance outreach, routine family communication, and participant engagement efforts. Monitor daily program implementation and ensure timely follow-through on assigned operational priorities. Coordinate program operations during assigned hours, escalating operational or programmatic concerns to the Program Director as appropriate. Staff Support & Supervision: Provide day-to-day supervision, guidance, and operational support to frontline staff. Assist with onboarding, scheduling, coaching, and performance feedback. Communicate daily operational priorities and support implementation of program expectations. Foster a collaborative, accountable, and solutions-focused team environment. Escalate staffing, performance, and operational concerns to the Program Director as appropriate. Operational Support & Compliance: Assist with audits, monitoring visits, documentation, and operational follow-through. Ensure attendance, incident reports, participant files, and required documentation are completed accurately and on time. Coordinate inventory, purchasing requests, supply management, and facility readiness. Maintain compliance with agency procedures, health and safety protocols, and licensing requirements. Program Quality & Continuous Improvement: Support walkthroughs, quality improvement efforts, and implementation of action plans. Assist with participant surveys, program observations, attendance tracking, and operational reporting. Support data-informed improvements that strengthen participant engagement and overall program quality. Partnerships & External Relations: Collaborate with the Program Director, Content Specialist, school staff, families, agency departments, and community partners to support daily program operations. Maintain effective communication with internal and external stakeholders. Represent Commonpoint professionally with participants, families, schools, and community partners. Participate in staff meetings, professional development, and agency initiatives.QUALIFICATIONS & KEY ATTRIBUTES:
MINIMUM QUALIFICATIONS:
Associate's degree required; Bachelor's degree in Education, Human Services, Social Work, Child Development, Recreation, Public Administration, or a related field preferred. Minimum two (2) years of experience working with youth in educational, recreational, afterschool, or community-based settings. Previous experience providing staff supervision, operational support, or program coordination preferred. Experience supporting daily program operations, participant engagement, family communication, and staff supervision. Strong organizational, communication, customer service, and problem-solving skills.PREFERRED QUALIFICATIONS:
Previous experience working in a Commonpoint or DYCD-funded program. Experience with participant management systems, attendance databases, or reporting systems (e.g., DYCD Connect, EZReports, Salesforce). Knowledge of School Age Child Care (SACC) regulations and afterschool program operations. Bilingual skills are welcomed.KEY ATTRIBUTES FOR ASSISTANT DIRECTOR:

To maintain fairness across the organization, salary offers are set according to established salary bands and are not subject to negotiation. New hires typically start near the beginning of the salary range to allow for growth based on performance, professional development, and tenure. WORKING CONDITIONS:
Work is performed primarily in a school or office setting, with regular activities conducted in classrooms, gyms, cafeterias, outdoor spaces, and other program environments as needed. Position may require exposure to varying environmental conditions, including outdoor weather, loud noise, and other conditions associated with school-age and community-based programming. Requires the ability to sit, stand, walk, bend, stoop, reach, and use a computer and other office equipment for extended periods throughout the workday. Must be able to lift and carry materials, supplies, and equipment weighing up to 25 pounds, with occasional assistance for heavier items as needed. Requires flexibility to work occasional evenings, weekends, and extended hours to support program operations, special events, training, family engagement activities, and agency initiatives. Travel between program sites, schools, agency locations, and community events may be required based on program, operational, and funding needs. Temporary reassignment to alternate program sites, including summer program locations, may also be required to support agency operations. JOB DETAILS: Work Schedule: Monday–Friday. Typical afterschool hours are approximately 2:00 PM–6:00PM. Schedules may vary based on program needs and may include earlier start or end times, as well as full-day shifts during school breaks, holidays, training, meetings, and special events.
