About the Role We are looking for a sharp, proactive, and detail-driven Operations Coordinator to join SEFA’s core team in Schaumburg, IL. In this dynamic role, you will be the operational engine driving daily member services, database accuracy, email marketing campaigns, and major industry events, including SEFA’s premier Annual Partnership Conference. If you love building efficient processes, managing key data, and serving as a go-to operational resource in a collaborative environment, this is your team. Responsibilities Member & Contact Administration Database Management: Keep internal and external contact databases accurate, organized, and up to date. Member & Partner Outreach: Support external communications to members, vendors, suppliers, and industry partners. Email Campaigns: Execute marketing email campaigns, including list curation, scheduling, and analytics tracking. Member & Supplier Support: Manage member account details, conduct data validation, and administer supplier surveys. Program & Operational Support Catalog & Price Control: Manage price list updates, version control, and distribution across networks. Program Materials: Coordinate conference specials, supplier-related program collateral, and online resources. Systems Administration: Assist in maintaining core asset management systems (TAIMS) and general office administration. Conference & Travel Logistics Travel Coordination: Arrange travel logistics and itineraries for staff, members, and event attendees. Event Execution: Oversee conference registration processes, vendor coordination, materials prep, and on-site support. Qualifications Detail & Operational Focus: High attention to detail with the ability to balance multiple operational projects seamlessly in a fast-paced environment. Clear Communication: Professional, polished verbal and written communication style for engaging dealers, suppliers, and executive leadership. Tech-Savvy Mindset: Experience with databases/CRMs, email marketing software, and core office tools.
