Contracts & Procurement Specialist

Overview Ultimate Staffing Services is actively seeking an experienced Contracts & Procurement Specialist to support a prestigious university in San Jose, California. This full-time position is ideal for someone with a strong background in procurement and contract management, particularly within higher education or similarly complex environments. The successful candidate will be detail-oriented and adept at managing agreements, redlining, and handling solicitations, all while maintaining a keen eye for compliance and accuracy. Responsibilities Accurately input and maintain contract details, including MEAs, MOUs, and UOAs, in the system. Red-line and review agreements to ensure compliance with university policies and applicable regulations. Assist in the development and execution of solicitations, including RFPs, RFQs, and bids. Support procurement activities by evaluating vendor proposals and assisting in supplier selection. Collaborate with internal stakeholders to clarify requirements and resolve contract-related issues. Maintain well-organized and accessible contract records for audits and reporting purposes. Ensure all procurement and contract processes align with university guidelines and best practices. Qualifications Proven experience in procurement, contract management, or a related field. Strong ability to red-line and negotiate contract terms. Experience with solicitation processes and documentation. Proficiency in data entry and contract management systems. Demonstrated ability to function as a skilled buyer in a complex organization. Excellent organizational skills and attention to detail. Ability to work independently, manage multiple priorities, and meet deadlines. Prior experience in a university or academic setting is a plus.
