Administrative Assistant

The Administrative Assistant will perform a wide variety of clerical and administrative duties including greeting guests, routing incoming calls, and assisting with assigned projects. This role will also fill in to cover for our Front Desk Administrative Assistant as needed. What You'll Do:- Assist in coordination and organization of company events such as meetings, travel, conferences, and department/client activities
- Coordinate catering orders for onsite meetings/trainings
- Ensure onsite meetings/trainings run smoothly
- Assist with contract management
- Greet guests in a warm and friendly manner
- Route incoming calls accurately
- Provide coverage during lunch break and vacation for the Front Desk Administrative Assistant
- Process and cost code invoices in a timely manner
- Monitor, order, and stock supplies for the office, break room, and mail service area
- Receive, sort, and forward mail to appropriate individual/department in a timely manner
- Identify solutions for various administrative issues and assemble material from files and records to complete special projects
- Prepare reports, memoranda, routine correspondence on behalf of the company
- Provide general support and assist other members of the administrative team as needed
- Professionally represent The Weitz Company and create an excellent first impression
- Experience:
- 1+ years of experience in an administrative role
- Experience with event coordination is a plus
- Skills:
- Welcoming and professional
- Ability to build positive relationships
- Organized and detail-oriented
- Flexible and able to balance multiple items/requests with frequent interruptions
- Excellent written and verbal communication skills
- High level of confidentiality
- Analytical ability to gather and summarize data for reports

- Proficient in Microsoft Office including Word, Excel, PowerPoint, and Outlook
- Ability to learn specific job-related software upon hire
- Additional Requirements:
- Ability to work in the office Monday - Friday during regular business hours
- The Administrative Assistant will fill in for the Front Desk Administrative Assistant as needed. Must be able to work Monday - Friday, 7:30am-4:30pm on those predetermined days.
