Assists with all leave of absences (LOA)

Delivers responsive and caring customer service to employees and leaders with primary focus on the Leave of Absence administration, including the return-to-work (RTW) process.

Reports To: Director-Human Resources; Supervises: N/A
Ages of Patients: N/A; Blood Borne Pathogens: Minimal/ No Potential

1. Demonstrates compliance with Code of Conduct and compliance policies and takes action to resolve
compliance questions or concerns and report suspected violations.
2. Understands federal and state LOA laws, EH policies and applies laws and policy guidance to employees for LOA inquiries; assists with CA EDD SDI and EDD PFL benefit programs.
3. Assists in providing responses to phone calls and emails, tracking leave utilization in the timekeeping system and addressing employee leave questions.
4. Runs auditing report from Workday and send emails to employees that are within seven (7) days of returning from leave.
5. Enters LOA returns or extensions in Workday and sends follow up email to employee regarding RTW. 
6. Tracks employees that have not responded to RTW, advises for LOA Specialist to send unauthorized letter.
7. Runs intermittent reports from Matrix portal, confirms usage and provides balances as requested.
8. Partners with employees and confirms FMLA/CFRA eligibility; partners with Matrix to overturn denials, if applicable.
9. Works through Matrix daily reports, enter new LOAs, extensions, cancellations, etc. in HR information system.
10. Reviews daily reports, send maternity or paternity emails to make sure employee has instructions to add new baby to medical benefits; partners with HRSR as needed to process benefit changes.
11. Tracks employees that are denied by Matrix, advises LOA Specialist to send unauthorized letter/or assists with claim packets to provide further instructions for medical certification forms.
12. Assists with job aids, standard operational procedures (SOPs) and other LOA communication.
13. Provides all medical release forms with restrictions for LOA Specialist to schedule Interactive Accomodation meetings.
14. Attends Matrix bi-weekly meetings and presents issues that require resolution.
15. Performs other duties as assigned.

• Knowledge of MS Office Suite (Excel, Word, Outlook and Power Point) and HR information systems
• Ability to prioritize tasks and manage time efficiently to meet deadlines
• Detailed oriented
• Ability to learn and understand applicable HR Information Systems
• Ability to work independently and as a team member
• Ability to handle confidential, sensitive and personal information appropriately
