The Construction Project Coordinator provides administrative, operational, and project support to construction project managers, superintendents, subcontractors, and clients. This role acts as the operational backbone of a project, facilitating communication, managing logistics, and ensuring that tasks, resources, and information flow smoothly across departments.

Primary Responsibilities

Project Planning & Scheduling

• Assist in developing, coordinating and tracking project plans, SOV, construction schedules/milestones, and project deliverables, project calendars and deadlines
• Maintain project files, contacts, drawings, specifications, permits, and submittals. 
• Manage RFIs, submittals, change orders, and construction correspondence. 
• Coordinate project activities among field teams, subcontractors, suppliers, and clients. 
• Track progress and follow up with team members on outstanding tasks.
• Maintain Gantt charts, dashboards, and project tracking tools.
• Maintain compliance documentation, permits, inspections, and safety records. 

Documentation & Reporting

• Prepare project documentation such as meeting notes, status reports, action logs, and change requests.
• Maintain organized project files, contracts, and records.
• Compile weekly and monthly progress reports for leadership.
• Ensure all documentation is accurate, up-to-date, and accessible.

Communication & Coordination

• Serve as a liaison between project managers, team members, vendors, and clients.
• Facilitate meetings, send agendas, and document decisions.
• Communicate project updates, risks, and changes to stakeholders.
• Coordinate cross-departmental collaboration.

Resource & Logistics Management

• Coordinate allocation of staff, equipment, and materials.
• Assist with procurement, purchase orders, and vendor communication.
• Track inventory, deliveries, and resource usage.
• Support onboarding of project team members.

Budget & Financial Tracking

• Assist with budget monitoring and expense tracking, including daily update on job costing workbooks
• Reconcile invoices, quotes, and purchase orders.
• Support financial reporting, cost analysis, and forecasting.
• Ensure expenditures align with project scope and approvals.

Risk & Issue Management

• Identify potential project risks or delays.
• Track issues and escalate concerns to project managers.
• Support development of mitigation plans and corrective actions.

Quality & Compliance

• Ensure project activities follow company policies, procedures, and compliance requirements.
• Support quality assurance checks and documentation reviews.
• Verify deliverables meet specifications before submission.

Process Improvement

• Recommend workflow enhancements and automation opportunities.
• Help streamline communication, documentation, and reporting processes.
• Support implementation of new tools, templates, or systems.
