Our team culture is built on professionalism, empathy, collaboration, and accountability.Position OverviewThe Clinic Operations Manager provides hands-on leadership for the day-to-day operations of The ITD Group's Conyers clinic. This position partners closely with executive leadership, the Clinical Director, administrative staff, and contracted therapy providers to ensure efficient operations, exceptional family service, and a positive, accountable workplace culture.The ideal candidate is an organized, proactive leader who enjoys solving problems, building systems, developing people, and creating an exceptional experience for families and staff alike.Location: 2415 Wall Street SE, Conyers, GA 30013 | Full-Time, On-SiteEssential ResponsibilitiesRBT Performance Management & Accountability — Your Primary FunctionMonitor RBT attendance, punctuality, and session completion rates in real time — respond to every issue the same day it occursHold RBTs accountable to documentation standards: session notes must be completed same-day, every session, without exceptionAddress attendance and performance concerns immediately; document all corrective actions and escalate through the formal process when neededCoordinate with BCBAs when operational RBT concerns cross into clinical territory — you manage operations, BCBAs manage clinical practiceSupport employee engagement, coaching, and retention initiatives to keep RBT turnover lowClinic OperationsOversee all day-to-day clinic operations and ensure efficient daily clinic flowSupervise administrative staff and provide operational leadership to the clinic teamDevelop and continuously improve operational workflows, policies, and standard operating proceduresMonitor clinic performance metrics and KPIs; report to leadership on a defined scheduleEnsure compliance with HIPAA, Medicaid, insurance requirements, and company policies at all timesManage facility operations, office equipment, inventory, vendors, and suppliesScheduling & Coverage ManagementManage client scheduling and therapist assignments in collaboration with the Clinical DirectorMaintain a proactive coverage protocol — open shifts are filled before clients are impactedMonitor utilization rates, unfilled session rates, and cancellation patterns on a weekly basisPrioritize client-RBT continuity; coordinate any assignment changes with the supervising BCBARecruitment, Hiring & Employee OnboardingLead recruitment efforts for RBTs and administrative staff — job postings, application review, interviews, and hiring decisionsCoordinate employment offers and pre-employment requirements including background checks and credential verificationOversee new hire orientation and onboarding; ensure every new team member is prepared and clinic-ready before working independentlyEnsure all required training, documentation, system access, and compliance requirements are completed for every new hirePartner with HR to maintain a smooth, consistent hiring and onboarding processClient Onboarding & Family ExperienceOversee the client onboarding process from referral through admission — intake, insurance verification, and operational onboardingHelp ensure clients begin services promptly while maximizing staff productivity and scheduling efficiencyServe as a primary point of contact for operational concerns from families; resolve issues promptly and professionallyPromote a welcoming, organized, and professional clinic environment that families are proud to bring their children toSupport initiatives that improve family satisfaction and client retentionMultidisciplinary Provider CoordinationServe as the operational liaison between The ITD Group and contracted Occupational Therapy (OT) and Speech-Language Pathology (SLP) providers operating under Memorandums of Understanding (MOUs)Coordinate scheduling, room assignments, and clinic logistics for multidisciplinary servicesFoster collaborative communication among ABA, OT, and SLP providersAssist with onboarding contracted providers and ensure compliance with clinic operational proceduresLeadership & Organizational ContributionPartner with executive and clinical leadership to support organizational goals and strategic initiativesMonitor operational budgets and resource utilization; identify opportunities to improve efficiency without compromising qualityPromote a culture of professionalism, teamwork, accountability, and continuous improvement across the clinic teamWhat You Will BringRequired:Bachelor's degree or equivalent management experienceMinimum 3 years of healthcare or behavioral health operations management experiencePrevious supervisory or management experience with direct service staffExperience recruiting, hiring, and onboarding employeesStrong organizational and time management skills — you track everything, miss nothing, and follow through on every commitmentExcellent communication and interpersonal skills with staff, families, clinicians, and executive leadershipAbility to prioritize multiple responsibilities in a fast-paced clinical environmentProficiency in Microsoft Office and business softwareAbility to pass a background checkPreferred:Experience in an ABA therapy or pediatric healthcare settingFamiliarity with ABA billing, authorization processes, and Medicaid requirementsExperience with Paycom, Motivity, CentralReach, or comparable healthcare management systemsExperience with scheduling software and workforce managementCompensation & Performance-Based GrowthSalary: $60,000–$70,000 annually, based on experience.We use a structured annual performance evaluation system assessing this role across core operational domains: RBT performance management and accountability, scheduling and coverage management, operational compliance, client and family experience, and recruitment and onboarding effectiveness. High performers are eligible for merit increases of 5–7% plus bonus consideration. Employees who meet expectations receive 3–4% annual merit increases.
