Academic Advisor, UGIS American Studies (5141C) 87355 Position Summary The Academic Advisor serves on the UGIS Academic Programs Advising Team, primarily supporting the American Studies major and minor, and the Politics, Philosophy, and Law Studies Minor. This position provides advice and assistance to students on academic progress, degree requirements, major/minor declaration, program planning, and leadership coordination for large–scale events such as the annual AS faculty research symposium, student thesis showcase, UGIS student welcome, and Commencement. Responsibilities Provide academic advising to students across all stages of UGIS majors and minors, including declaration, degree progress, course completion, thesis requirements, and alternative pathways. Help students define realistic academic goals and develop pathways within interdisciplinary programs. Maintain and update student records in the Academic Progress Report (APR) and American Studies program database; certify completion of degree requirements and honors designations. Keep thorough knowledge of university and college policies; stay informed about relevant course offerings and coordinate with student services staff. Identify students with GPA or progress problems, determine barriers, and make appropriate referrals. Meet with new and continuing faculty, UGIS Manager, and other advisors on policies and procedures. Approve and implement student petitions for policy exceptions. Advise students on campus programs for study abroad, internships, research, scholarships, and graduate school preparation. Communicate program updates to students and faculty. Provide statistical reports and maintain historical data. Advise faculty directors on policy formulation and recommend changes. Analyze consequences of program policies and recommend new or changed policies. Plan and track curriculum in collaboration with faculty and other departments to ensure course sequencing and policy compliance. Serve as liaison with the campus courses committee; maintain transfer credit agreements. Coordinate course enrollment, waitlists, and seat reservations via Student Information Systems. Recruit and assign graduate student instructors, readers, and tutors to courses. Lead or co‑lead program event planning for large annual events and other programming. Coordinate event logistics, scheduling, communications, and day‑of support. Publicize events and develop marketing materials. Serve as program record‑keeper and maintain digital records, file archives, and advising notes. Maintain program websites and ensure compliance with accessibility policies. Collect and publicize faculty office hours; collect course syllabi each semester. Maintain program administrative files per UCOP retention policies. Create and share calendars of processes, deadlines, and events. Attend or coordinate meetings with program staff and faculty. Collaborate with other UGIS advisors; maintain familiarity with all programs in UGIS. Engage in professional development workshops and trainings. Attend UGIS Academic Programs team meetings. Contribute to a team culture rooted in diversity, equity, inclusion, belonging, and justice. Required Qualifications Knowledge of academic advising, counseling techniques, and multiple majors, simultaneous degrees, colleges, and schools. Knowledge of institutional policies, procedures, and requirements. Judgment and decision–making skills; problem identification and original idea development. Administrative organization and project management skills with attention to detail. Ability to manage multiple projects with varying deadlines. Monitoring and assessing student experience for service and procedural improvements. Excellent written and verbal communication, including public speaking. Strong interpersonal skills to foster respectful collaboration. High‑touch service orientation, active listening, emotional intelligence, and critical thinking. Independent and team work with cooperative relationships. Objectivity and discretion in interactions with students, faculty, and staff. Proficiency with university and comparable software systems, shared documents, spreadsheets, and event expense tracking. Understanding of interdisciplinary inquiry. Knowledge of school precedents and policy application, including risk management. Education / Training Bachelor's degree in a related area and/or equivalent experience or training. Preferred Qualifications Master's degree in a related area and/or equivalent experience or training. Salary & Benefits The budgeted annual salary range is $75,000 – $85,700 .
