The Custody Operations Specialist works in a large, quiet vault environment handling loan file custody and control. In this first-shift, MondayFriday role, you perform high-volume filing, quality control, and research activities to ensure files are accurately stored and easily retrievable. The position is highly active, requiring you to be on your feet most of the day while using multiple computer systems and Microsoft Excel to track, verify, and locate loan documentation.

Responsibilities

• Perform daily custody operations in the vault, including pulling loan files, filing them back in the correct locations, and conducting quality control checks.
• Verify that loan files are correctly filed according to customer and loan number, and ensure all documentation is complete and properly organized.
• Walk aisles and climb step stools as needed to access files stored on various shelves throughout the vault.
• Investigate missing or misplaced files by searching the remainder of the shelf, nearby shelves, carts, desks, and other storage areas.
• Use computer systems and search tools to research file locations, including reviewing where files were last seen and identifying files brought in at the same time.
• Navigate multiple computer applications and databases to track custody status, locate documentation, and update records accurately.
• Handle production-based work in a high-volume environment while maintaining strong attention to detail and accuracy.
• Use Microsoft Office, especially Excel, to log, track, and reconcile file information and support custody operations reporting.
• Communicate clearly and professionally with team members using verbal, written, and interpersonal skills to resolve file issues and coordinate workflow.
• Multitask effectively by managing multiple file requests, research tasks, and quality control activities throughout the day.
• Lift boxes or stacks of files up to 30 pounds as needed to move or reorganize vault materials.
• Maintain a neat, organized work area in the vault and follow all filing and documentation standards to support efficient operations.

Essential Skills

• Basic Microsoft Office skills, with strong proficiency in Microsoft Excel.
• Experience in a production-based or high-volume operational environment.
• Excellent verbal, written, and interpersonal communication skills.
• Strong analytical skills with high attention to detail and accuracy.
• Ability to navigate multiple computer systems, applications, and search tools to find and update information.
• Ability to navigate various computer databases related to document custody and file tracking.
• Ability to multitask and manage multiple responsibilities simultaneously.
• Capability to lift up to 30 pounds safely and repeatedly as needed.
• Comfort being on your feet for the majority of the workday.
• Demonstrated reliability and consistency in following procedures and meeting productivity expectations.

Additional Skills & Qualifications

• Experience working with document custody, vault operations, or large-scale filing systems.
• Background in production, operations, or warehouse-style office environments.
• Familiarity with Microsoft Office beyond Excel, including basic use of other applications.
• Proven ability to perform detailed research using both physical files and digital systems.
• Strong attention to detail when handling sensitive loan documentation.
• Comfort working with carts and other file-handling tools in a large file storage environment.

Work Environment

This role is based in a quiet but very large vault that functions like an office warehouse full of files arranged by customer and loan number. You spend most of your day on your feet, walking aisles and occasionally using step stools to access files on higher shelves. The dress code is business casual, and comfortable shoes are important; tennis shoes are acceptable. You work standard first-shift hours, Monday through Friday, in a structured, production-oriented environment that relies on computer systems, databases, and Microsoft Office (especially Excel) alongside physical file handling.

This is a Contract to Hire position based out of Minneapolis, MN.

Pay and Benefits

The pay range for this position is $18.00 - $18.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
