Property Operations Support Specialist

Software Support Specialist provides frontline technical support for the company’s multifamily housing management systems, ensuring smooth operations and exceptional service to property management teams. This role requires strong problem‑solving skills, deep familiarity with multifamily software applications, and the ability to deliver timely solutions, training support, and system documentation. The Software Support Specialist plays a key role in enhancing operational efficiency and supporting team members in the effective use of company software platforms. Key Responsibilities Yardi & Property Operations Support Provide day‑to‑day support to onsite teams and vendor partners using property management systems, focusing on Yardi, on tasks such as leasing workflows, resident records, reporting, and system navigation. Help resolve system‑related questions promptly and professionally, ensuring minimal disruption to daily operations. Monitor recurring issues and partner with internal teams or vendors when additional support is needed. Support key functions such as screening, insurance, payments, and revenue management within Yardi and related platforms. Yardi System Knowledge & User Support Build and maintain strong working knowledge of Yardi (Voyager, CRM tools, RentCafe, Aspire) and its role in property operations. Create and update easy‑to‑use resources such as quick guides, FAQs, and tips to help onsite teams navigate systems. Serve as a go‑to resource for best practices, helping teams use Yardi more efficiently. Training & Team Support Support training efforts by managing course assignments, tracking completion, and maintaining training materials. Assist in creating practical learning tools such as job aids, walkthroughs, and assessments to reinforce system knowledge. Facilitate training sessions, workshops, or team meetings focused on Yardi and property operations processes. Work with team members to support system updates and ongoing learning initiatives. Property Operations & Process Support Maintain a strong understanding of multifamily property management operations, including leasing, renewals, resident communication, and financial workflows. Help ensure Yardi is used in a way that aligns with company policies and standard operating procedures. Provide feedback on opportunities to improve workflows and make systems easier for onsite teams. Skills, Knowledge and Expertise Knowledge of real estate principles and multifamily property operations. Strong leadership abilities focused on team development and performance management. Excellent verbal and written communication skills, conveying complex information clearly. Strong presentation and facilitation skills for engaging training sessions using interactive techniques. Ability to work independently with discretion, professionalism, and sound judgment. Strong organizational skills; manage multiple projects, prioritize tasks, and meet deadlines. Proficiency in learning methodologies: e‑learning, instructor‑led training, blended learning. Ability to conduct needs assessments and develop customized training plans. Proficiency in designing and implementing performance improvement plans. Ability to provide impactful coaching and feedback. Strong problem‑solving, decision‑making, and analytical skills. High attention to detail, accuracy, and numerical aptitude. Proficiency in Microsoft Office: Excel, Word, Outlook, PowerPoint. Ability to learn and use property management and enterprise systems (Yardi, RealPage, MRI). Familiarity with leasing platforms and market analytics tools (CoStar, VTS). Understanding of operational policies, procedures, safety standards, and compliance requirements. Knowledge of basic economic and accounting principles and financial reporting practices. Demonstrated reliability, strong work ethic, and consistent attendance. Ability to respond appropriately to emergency situations and changing business needs. Driving is an essential function of the position. Ability to communicate in English; additional languages may be used when preferred by all parties. Education Bachelor’s degree in a related field preferred; equivalent experience considered. Required Work Experience Minimum 2 years of related experience preferred. Experience in Property Management (commercial and/or residential) favored. Industry experience and proficiency with relevant software systems favored. Certifications and Licenses Valid driver license allowing driving for work purposes during working hours. Valid automobile insurance when operating a vehicle for business purposes. Any other licenses/certifications required by governing agencies; otherwise none. Continuing Education Courses Only those required to maintain government agency certification or licensing. Completion of applicable company training programs throughout employment. Working Conditions Majority of time spent in an office environment or on‑site at residential communities. Optional remote work on Fridays, subject to business needs and performance. In‑person, regular, and predictable attendance is essential. Occasional evening or weekend work may be required for emergencies or special events. Occasional out‑of‑town travel for conferences, training, and professional development opportunities. Physical Requirements Occasionally lift up to 40 pounds from floor to waist level. Occasionally lift up to 5 pounds from floor to shoulder height. Occasionally carry up to 40 pounds. Occasionally perform horizontal pushing and pulling with up to 15 pounds of force. Occasionally climb steps or curbs of approximately 8–10 inches. Occasionally bend at the waist. Frequent neck flexion and occasional neck rotation. Maintain constant hand‑eye coordination. Perform frequent fine motor tasks such as typing, paperwork, key handling. Occasionally walk throughout the community or office area. Sit for extended periods of time.
