Event Coordinator

The Event Office Coordinator has responsibilities with booking, planning, coordinating and the execution of a wide variety of private and public events at The Angus Barn pavilion and Bay 7 in Durham. This is a highly organized, hands-on position requiring excellent communication, exceptional attention to detail, strong follow-through, and the ability to manage multiple priorities in a busy and sometimes distracting environment. Responsibilities include but are not limited to: Communicate with customers via phone and email throughout the planning process. Respond to all inquiries thoroughly and accurately. Conduct tours of The Angus Barn and event spaces while providing customers with an informative and hospitable environment. Follow up on inquiries, proposals and event details. Prepare contract and collect payment for bookings. Strong computer skills including working knowledge of Microsoft Outlook, Word, Caterease, Excel, Publisher, Canva and Adobe Pro. Hospitality software includes TeamUp and Social Tables. Review and assist with preparing Banquet Event Orders (BEOs). Manage multiple events and priorities while maintaining a high level of accuracy and organization. Participate in meetings and assist with meeting preparation including coordinating all meeting documents. Be exceptionally organized, efficient and detail-oriented. Have excellent follow-through and the ability to prioritize and multitask. Remain focused and productive in a busy environment. Be flexible and willing to work some evenings, weekends and holidays as event schedules require. Have a strong work ethic, a positive attitude, a willingness to learn and a genuine desire to provide exceptional hospitality. High school diploma required with a minimum of two years of college education is highly preferred. Previous hospitality, event planning or customer service experience is highly preferred. Strong organizational and communication skills are essential. The right attitude, work ethic and willingness to learn are equally important.
