Job Full Description Office Administrator / Operations Coordinator Express Employment Professionals is recruiting for a growing local construction and trades company seeking a reliable, organized, and detail-oriented Office Administrator / Operations Coordinator to support daily operations in a fast-paced office and shop environment.
This position is ideal for someone who takes initiative, stays organized, solves problems proactively, and follows through on responsibilities without constant supervision. - Answer incoming calls and provide professional customer service
- Manage company email inboxes and route communications appropriately
- Schedule estimates, appointments, and internal meetings
- Coordinate with customers, vendors, subcontractors, and field personnel
- Assist with inventory management and material ordering
- Track inventory levels and anticipate upcoming operational needs
- Monitor material requirements for upcoming and pending projects
- Maintain customer, vendor, and company records
- Organize, scan, and manage digital and physical filing systems
- Process incoming and outgoing correspondence, including mail and email
- Enter invoices, receipts, and project-related information into company systems
- Support billing, documentation, and administrative processes
- Create and maintain Standard Operating Procedures (SOPs)
- Assist with marketing and social media activities
- Maintain cleanliness and organization of office and common areas
- Provide administrative support to office, sales, and field operations
- Support company goals, values, and overall operational success
- 2+ years of administrative, office support, or operations experience preferred
- Strong organizational skills and attention to detail
- Strong data entry and computer skills
- Proficiency with Microsoft Office and/or Google Workspace
- Experience managing email systems and digital filing systems
- Excellent written and verbal communication skills
- Ability to multitask and prioritize effectively
- Ability to work independently with minimal supervision
- Dependable, punctual, and accountable
- Experience in construction, manufacturing, trades, or service industries is a plus
- Tasks are completed accurately and on time
- Inventory needs are identified before shortages occur
- Schedules are organized and communicated clearly
- Customer communications are handled professionally
- Office systems remain organized and efficient
