Assistant Property Manager - On Site

Position Summary The Assistant Property Manager works on‑site in Vero Beach, FL, assisting the Property Manager in managing one or more properties and fulfilling obligations under property management agreements. Responsibilities include budget development, monthly operating reports, tenant billings, rent collection, lease administration, vendor supervision, property inspections, and coordination of tenant improvement and capital projects. Essential Job Functions Assist with activities associated with a property or group of properties. Assist all lease administration duties. Supervise vendors (landscaping, janitorial, etc.) and maintenance staff. Perform regular property inspections and complete inspection reports. Recommend alterations, maintenance and reconditioning as necessary. Assist Property Manager with operating and capital budget development and control. Assist in preparation of monthly reports for owners. Coordinate tenant improvement and capital projects. Respond to tenant needs and ensure timely resolution by administrative and technical staff. Ensure services comply with policies, procedures, regulations and contractual obligations. Represent and communicate on behalf of the Property Manager per legal agreements and TW policies. Execute day‑to‑day operational procedures. Assist in contracting and administering services to maintain property value and efficiency. Prepare service and construction agreements, including work authorizations and amendments. Track and maintain Energy Star benchmarking data. Conduct tenant training meetings and maintain tenant relations program. Resolve problems to the benefit of tenant and owner. Administer leases to assure compliance. Execute rent collection, escalations, reconciliations, and maintain insurance certificates. Show space to prospective tenants (requires real estate license where required). Communicate with project accounting personnel. Prepare monthly ownership reporting (variance reports, executive summaries, aging reports, etc.). Manage day‑to‑day financial transactions: accounts receivable, accounts payable, rent collection. Maintain compliance with all TW personnel policies and procedures. Other duties or projects as assigned. Position Requirements Bachelor’s degree in Business Management, Finance, Accounting, Human Resource Management or related discipline. RPA designation in progress preferred. Real Estate License where required by state law. Minimum 3 years of property management experience, preferably in commercial / Class A Office management. Intermediate to advanced MS 365 Word, Excel, Outlook proficiency. Experience with accounting software such as MRI, Yardi or CTI preferred. Ability to keep information confidential. Strong desire to succeed in an entrepreneurial environment. Ability to handle multiple projects, changing priorities and heavy workload. Exceptional oral and written communication skills. Strong customer service orientation. Work Shift & Location On‑site position in Vero Beach, FL. This position does not offer remote or hybrid options.
