Records & Registration Associate

Position Overview Towson University’s Registrar’s Office needs a Records & Registration Associate to support students, faculty, staff and the campus community with academic and operational registration and records issues. The role provides in‑person, telephone, email and live‑chat service, assists with record upkeep, and supports flow of student registrations and transcripts in PeopleSoft. Responsibilities and Duties Provide customer service at the Registrar’s Service Center counter to students, faculty, and the campus community and answer PeopleSoft inquiries, email, phone, and chat requests. Review and convert student records and transcripts from legacy databases into PeopleSoft and other student database systems, troubleshooting issues with technology team support. Develop, implement, and maintain electronic and paper filing systems that satisfy retention and information security requirements. Enter, update, and retrieve data related to final grades and facilitate corrections for graduating students, degree completion, and award issuance. Verify enrollment, graduation status, and last‑year activity for current students and alumni by telephone, email, or postal mail. Act as general intermediary for the Assistant Director of Records & Registration, providing information that requires substantial knowledge of institutional policies and procedures. Input semester registration requests, ensuring adherence to credit limits and departmental consent, and assist students with alternate course selections and complicated online registration issues. Edit, format, and revise documents for transfer‑credit and grade‑change postings, verifying approval petitions, transcripts, and official records before entering data into PeopleSoft. Process transcript requests via counter or third‑party vendor, ensuring timely fulfillment and accuracy. Maintain and retrieve student electronic academic folders, scan, index, and shred documents for archival purposes and handle student inquiries and conflicts. Participate in special projects assigned by the Assistant Director of Records & Registration. Telework may be available up to two days per week after 90 days of service in good standing. Qualifications and Skills Required Qualifications High School Diploma or GED. Three years of administrative support experience. General knowledge of and skill in office practices and procedures. Excellent oral, written, and proof‑reading skills. Proficiency in computer software packages (word processing, spreadsheets, databases, presentations, Internet, email, calendaring). Ability to follow oral and written instructions and interact effectively with internal and external parties courteous and efficiently. Ability to plan, organize, prioritize, and execute multiple assignments with general instructions. Equivalency policy: up to 30 college credits may substitute one year of experience. Preferred Qualifications Proficiency in PeopleSoft and Perceptive Content/ImageNow. Organization & Location Academic Affairs Division – Main Campus Salary and Benefits Annual salary: $46,736.
