­­­­­­­ Overview of the Team

The Recurring Revenue Group (RRG) is responsible for protecting and growing IPC’s recurring revenue streams through the effective management of maintenance, subscription, and lifecycle agreements. The Renewals Team partners closely with Sales, Finance, Project Management, Customer Success, Legal, and Operations teams to ensure customers receive seamless contract administration and renewal support.

Based in New York, this role is part of a global team supporting customers and colleagues across multiple regions and time zones. The team plays a critical role in maintaining customer retention, revenue predictability, and operational excellence. The Renewals function directly supports IPC’s mission of delivering secure, compliant communications and connectivity solutions to global financial markets.

Role Overview

The Renewals Associate is responsible for the coordination, administration, and execution of customer maintenance and subscription agreements arising from both new sales and existing customer renewals. This role serves as a key operational partner across multiple functions, ensuring customer agreements are accurately maintained, renewed on time, and aligned with IPC’s commercial and compliance requirements.

This role will collaborate closely with Sales, Finance, Project Management, Customer Success, and other stakeholders to manage contract lifecycle activities while maintaining a high level of accuracy and customer focus.

Key Responsibilities

• Coordinate new customer maintenance and subscription agreements to ensure timely and accurate contract activation.
• Manage the renewal lifecycle for assigned customer maintenance and subscription agreements, supporting recurring revenue retention.
• Maintain accurate records within Salesforce, including contract, billing, and customer agreement data.
• Review and prepare renewal schedules, customer contract documentation, and supporting materials for approval.
• Partner with Project Managers to validate implementation milestones, customer acceptance documentation, and contract readiness.
• Analyze customer maintenance schedules and contract entitlements to ensure contractual accuracy.
• Incorporate moves, adds, and changes (MACs) into customer agreements as part of the renewal process.
• Prepare subscription consumption reports and renewal documentation for applicable customers.
• Maintain IPC’s centralized contract management records and ensure key contractual information is readily accessible.
• Collaborate closely with Finance to support billing accuracy and timely resolution of contract-related queries.
• Monitor open maintenance agreements and upcoming renewal activity, escalating risks and exceptions as required.
• Support customers and internal stakeholders by responding to contract-related inquiries in a professional and timely manner.
• Identify and escalate non-standard commercial requests, discount approvals, and contractual exceptions.
• Participate in projects and process improvement initiatives that enhance renewal efficiency, customer experience, and revenue retention.
• Demonstrate strong ownership, accountability, and commitment to continuous professional development.

• Support accurate revenue forecasting and reporting through high-quality contract administration and data integrity.

Essential Skills and Experience to be Successful in this Role

• Bachelor's degree or equivalent professional experience.
• Experience supporting contract administration, renewals, revenue operations, sales operations, customer success operations, or commercial operations.
• Strong understanding of contract lifecycle management and commercial documentation.
• Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously.
• Strong analytical and problem-solving capabilities.
• Excellent written and verbal communication skills.
• High level of attention to detail and accuracy.
• Experience working with CRM platforms, preferably Salesforce.
• Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
• Ability to collaborate effectively with cross-functional stakeholders in a fast-paced environment.
• Strong business judgment and customer-centric mindset.
• Ability to work independently while contributing positively to a team environment.

Desired Skills and Experience

• Legal, paralegal, or contract management training.
• Experience within software, SaaS, telecommunications, financial technology, or technology services industries.
• Experience managing maintenance, subscription, or recurring revenue contracts.
• Familiarity with subscription billing models and consumption-based commercial structures.
• Knowledge of contract management best practices and commercial compliance requirements.
• Experience supporting global customers across multiple regions and time zones.
• Experience with service management or installed-base management platforms.
