Talent Acquisition Administrator

The Talent Acquisition Administrator is responsible for providing administrative and operational support to the Talent Acquisition function. This role supports full-cycle recruiting activities and ensures a consistent, compliant, and positive candidate experience. It is ideal for individuals seeking to begin a career in Talent Acquisition or Human Resources, with exposure to recruiting operations, coordination, and HR systems. Core Responsibilities Maintain and update candidate records, requisitions, and job postings in the Applicant Tracking System (ATS) (e.g., Paycor). Support end-to-end recruiting logistics, including scheduling interviews, coordinating calendars, and communicating with candidates and hiring managers. Assist with job postings across internal and external recruitment sources and ensure postings remain current and accurate. Monitor recruiting inboxes and respond to candidate inquiries professionally and timely. Prepare offer letters and employment-related documentation in partnership with Talent Acquisition and HR. Support pre-employment processes, including background checks, pre-hire documentation, and onboarding coordination. Ensure compliance with company policies, internal controls, and applicable employment laws throughout the recruitment process. Assist with onboarding activities, including initiating new hire workflows in HRIS and preparing new hire materials. Support recruiting events such as career fairs, campus recruiting, internships, and networking events. Partner with Talent Acquisition team members on process improvements and recruitment initiatives. Assist with vendor coordination related to recruiting tools, assessments, and background check services. Assisting with the offboarding process such as exit interviews, completing offboarding form, and deactivating in HRIS. Input invoices into Concur for approval. Qualifications Bachelor’s degree in Human Resources, Business Administration, or related field preferred. Previous administrative, recruiting coordination, or office experience preferred. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with ATS or HRIS platforms preferred (training provided). Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to handle confidential information with discretion. High attention to detail and accuracy. Ability to manage multiple priorities in a fast-paced environment. Ability to work both independently and collaboratively as part of a team. Skills and Competencies Strong interpersonal and customer-service skills to engage candidates and internal stakeholders. Ability to manage schedules, deadlines, and competing priorities. Adaptability and willingness to learn recruiting systems, tools, and processes. Problem-solving skills to resolve basic recruiting or coordination issues. Professional judgment and discretion in handling sensitive candidate information. Basic understanding of Talent Acquisition best practices and employment laws (training provided). Compensation and Benefits Base salary range for this position is $65,000-$75,000 plus eligibility for a performance-based annual bonus. Actual compensation will be based on a variety of factors including experience, education, and location.
