Contract Coordinator

Flexstaff is looking for a Contract Coordinator to join our clients team. Job Location: Melville, NY (100% onsite) Salary: $75,000-$100,000/yr Schedule: Day Shift Week Day Hours 9/80: compresses 80 hours of work into nine days across a two-week period, allowing employees to work eight 9-hour days and one 8-hour day to earn every other Friday off. Responsibilities: * Review proposed contracts to ensure that the price, delivery schedule, specifications, terms and conditions are consistent with the quotation submitted.

• Maintain and reconcile backlogs, bookings and sales reports.
• Maintain Salesforce, reconciling to bookings reports.
• Maintain customer, supplier and sales rep database in ERP system.
• Maintain and monitor customer supplier portals, updating annuals Certs and

Reps, invoicing, obtaining new purchase orders, and requests for quotations. * Assist with close-out of contracts including the final billing and retentions or disposition of customer furnished material. Makes final review and submission of required forms to ensure that all requirements * Routinely interfaces with other business functions to assist with license requirements planning and addresses daily operations issues/questions * Process all export shipping documents at time of shipment to ensure compliance; customs invoice, review packing lists, create shippers Letter of Instruction. Interface with freight forwarders/customers to arrange the shipment. Coordinate pickup dates to meet our monthly sales requirements. * Supports FSO with visitor request processing. Screen names in Visual Compliance, update visitor log and report findings for final FSO approval. Qualifications: * High School diploma and a minimum of 8 years of prior related experience or Associate’s degree with a minimum of 4 years of prior related experience.

• 5+ years contract management experience in defense manufacturing industry
• Familiarity with large, complex multifaceted electronics design &

manufacturing environment * Familiarity with defense aerospace industry & regulations and understanding of the role of procurement in complex industries. * Familiarity of FAR and DFAR regulations and of ITAR (International Traffic in Arms Regulation) and EAR (Export Administration Regulation)

• Understanding of subcontractor solicitations and bid analysis/process.
• Microsoft Office proficiency required
• CostPoint and Salesforce experience a plus
