Tender Executive [TE02] Job ID: TE02. Full‑time position. Permanent. Vacancy: 1. Location: V.U. Nagar, Gujarat, India. Education Graduate/Post Graduate Responsibilities Utilize experience in GEM, e‑procurement, and various private and government websites. Search for and download new tenders. Review and prepare tender documents, ensuring accuracy and compliance with specifications. Demonstrate working knowledge of EMD (Earnest Money Deposit) including DD (Demand Draft), BG (Bank Guarantee), and NEFT (National Electronic Funds Transfer). Ensure timely submission of high‑quality bids, adhering to tender deadlines. Coordinate with internal teams to gather necessary information and support bid preparation, and respond to queries. Maintain a comprehensive database of tenders, contracts, and competitor analysis. Monitor the status of bid tenders daily. Negotiate and finalize sales agreements, agreeing on terms and conditions. Prepare reports for the head office and maintain Minutes Of Meeting (MOM) for all meetings. Experience in Tender Bidding Process. Additional Skills Technical Skills Comprehensive knowledge of the end‑to‑end tendering process, including preparation, submission, and evaluation. Proficiency in preparing, reviewing, and managing tender documents, proposals, contracts, and related paperwork. Understanding of the specific industry in which the organization operates to accurately interpret tender requirements. Ability to manage multiple tenders simultaneously, ensuring deadlines are met and quality standards are maintained. Proficiency in using tender management software, Microsoft Office Suite (especially Word and Excel), and possibly other project management tools. Attention to detail in all tender documents and adherence to guidelines. Perform detailed cost and price analysis to ensure competitive and profitable bids. Identify and mitigate potential risks associated with tender submissions. Communication Skills Excellent writing skills to produce clear, concise, and compelling tender documents and proposals. Strong verbal communication skills for negotiations and discussions with stakeholders, clients, and suppliers. Build and maintain relationships with clients, suppliers, and internal teams. Organizational Skills Efficiently manage time to meet tight deadlines and handle multiple tasks. Coordinate with different departments to gather necessary information and ensure all aspects of the tender are covered. Maintain accurate records of all tenders and submissions. Strategic Skills Negotiate terms, prices, and conditions with suppliers and clients to achieve the best outcomes for the organization. Conduct market research to identify potential tender opportunities and stay informed about market trends. Assess competitors' strengths and weaknesses to position the organization’s bid advantageously. Soft Skills Quickly address and resolve issues that arise during the tender process. Adaptability to changing requirements and conditions. Collaborate effectively with colleagues and departments to achieve common goals.
