Yellow Dog Program Administrator

Position Summary

Yellow Dog Flyfishing is seeking a highly organized, service-oriented team player to join us as a Program Administrator. This role supports our domestic and international fly-fishing travel programs by coordinating post-booking client information, travel logistics, documentation, partner communications, and post-trip follow-up for assigned destinations.

The Program Administrator serves as a key point of contact for clients, Program Directors, destination partners, and internal teams, helping ensure each trip is accurate, organized, and well coordinated from booking through return.

This is an in-office administrative and travel-logistics position. It is not a sales, guiding, or travel-based role.

Key Responsibilities

• Manage and track active client trips from confirmed booking through post-trip follow-up.
• Collect and maintain required client information, travel details, forms, and destination-specific documentation.
• Prepare and distribute accurate itineraries, trip-planning materials, confirmations, and other client communications.
• Coordinate flights, lodging, transfers, baggage requirements, arrival and departure schedules, and customized travel arrangements as applicable.
• Proactively communicate deadlines, outstanding needs, destination requirements, and important travel information to clients.
• Serve as a knowledgeable and professional planning contact for clients by phone and email.
• Coordinate with Program Directors, lodges, outfitters, transportation providers, and other destination partners.
• Monitor reservations and travel developments, identify potential issues, and escalate concerns appropriately.
• Maintain complete and accurate client, trip, task, and communication records in company systems.
• Provide coverage and operational support during employee absences, high-volume periods, and urgent client situations.
• Assist with onboarding, training, company events, special projects, and other operational needs as assigned.

Qualifications

• Strong attention to detail and a commitment to accurate, complete work.
• Excellent written, verbal, telephone, and customer-service skills.
• Highly organized and able to manage multiple clients, priorities, deadlines, and changing travel details.
• Sound judgment, resourcefulness, and the ability to solve problems and escalate concerns appropriately.
• Ability to work independently while collaborating effectively across teams.
• Willingness and ability to learn evolving travel-planning, customer-relationship, payment, communication, and data-management systems.
• Experience in travel planning, logistics, hospitality, concierge services, administration, or a related client-service environment is preferred..
• Ability to maintain confidentiality and handle sensitive client and company information appropriately.
• Knowledge of international travel, fly fishing, or relevant destinations is preferred.
• Experience with Microsoft 365, Outlook, QuickBooks, Salesforce, or similar systems is preferred.
  

Schedule and Work Environment

This is a full-time, office-based position in Bozeman, Montana, generally scheduled for 40 hours per week, Monday through Friday. Periodic participation in company events, special projects, or time-sensitive client matters outside regular business hours may be required.

The position requires frequent computer, email, telephone, and system use, as well as the ability to occasionally move materials weighing up to 20 pounds, with or without reasonable accommodation.
