Assistant Manager, Transaction Operations

Job Summary The Assistant Manager, Transaction Management Team serves as the primary support to the Manager and provides a critical leadership role within the transaction team. This position is both strategic and hands‑on; responsible for daily production, team support, escalation management, and operational continuity. The Transactions Management Team is responsible for accurately closing thousands of residential sales transactions monthly. This role provides consistent service delivery and operational accuracy to ensure transactions are compliant and commissions are accurately and efficiently distributed. This role is ideal for a strong problem‑solver who thrives in fast‑paced environments, leads by example, has deep Real Estate transaction knowledge and experience, and balances leadership responsibilities with active production. Location : Split between Chicago, Schaumburg, and Downers Grove Hours : Monday-Friday 8:30a-5p Key Responsibilities Leadership & Team Support Serve as the Manager’s right hand person, assisting with daily operations and strategic initiatives as needed Prioritize and continuously improve customer experience operations and initiatives Help plan and facilitate team meetings, trainings, and Power Hour (learning) sessions Take ownership of training responsibilities for new and existing team members Provide coverage for team members during absences and assist in office coverage when staffing gaps occur Support team morale, accountability, and performance standards Operations & Production Maintain active production pipeline of transaction validation and closing responsibilities while supporting team operations Oversee complex or unique transaction scenarios, including advanced calculations and non‑standard files Handle transaction reopens and escalations Serve as the primary escalation point for administrative issues, agent concerns, and problem resolution Escalate issues to the Manager when appropriate, with clear recommendations Process Management & Reporting Create and maintain management reporting related to production, errors, and performance trends Document new processes, updates, and procedural changes for storage in the shared drive Oversee reconciliation of accounts and resolution of errors, ensuring accuracy and compliance Assist with continuous improvement initiatives to streamline workflows and reduce errors Continuity & Backup Support Step in to support the team during PTO, leaves, or unexpected vacancies Assist with onboarding, transition support, or office stabilization when turnover occurs Ensure operational consistency and service levels are maintained at all times Qualifications Strong experience in transaction operations, real estate operations, or a similar operational environment Proven ability to manage escalations, complex scenarios, and high‑volume workflows Exceptional organizational, analytical, and problem‑solving skills Confident communicator with the ability to work across teams and leadership levels Detail‑oriented with a strong understanding of reconciliation, reporting, and process documentation Demonstrated ability to lead while remaining hands‑on and production‑focused Why This Role Matters This role is essential to the success and stability of the transaction team.
