We are looking for an  Administrative Assistant who is organized, proactive, and takes pride in creating a smooth, professional experience for both our clients and our team.

What You’ll Do

This role is critical to keeping our office running efficiently and ensuring our clients receive the high level of service Berns is known for.

Key Responsibilities:

  • Answer and manage incoming calls with professionalism and warmth 
  • Coordinate scheduling between clients, sales team, and operations 
  • Assist with estimate preparation and ensure all information is complete and accurate 
  • Maintain organized client files and job documentation (photos, notes, proposals) 
  • Follow up on estimates and client requests—nothing gets left behind 
  • Support A/R follow-up 
  • Keep internal systems (Aspire, email, files) organized and up to date 
  • Assist with general office coordination and team communication

  • Highly organized with strong attention to detail 
  • Strong communication skills—both written and verbal 
  • Comfortable managing multiple tasks and priorities 
  • Proactive mindset—you take initiative rather than waiting to be told 
  • Professional, positive, and team-oriented 
  • Experience in an office or administrative role preferred 
  • Experience with CRM or scheduling software is a plus
