Job Title: Youth and Family Coordinator
Department : Youth Activities
Reports To: Director of Member Experience.

POSITION OBJECTIVE:

The Youth Events Coordinator is responsible for coordinating, planning, and executing youth and family activities and events at the Club. This position will assist in developing engaging programming for children, teens, and families while ensuring events are organized, welcoming, safe, and aligned with the Club’s standards. The Youth Events Coordinator will oversee event logistics, assist with staff coordination, member communication, event set-up and breakdown, and actively participate in programming to create a positive experience for Club members and their families.

POSITION FUNCTIONS AND DUTIES:

• Assist in coordinating, and executing youth, teen, and family events and activities throughout the Club.
• Implement creative, age-appropriate activities and programming for children and teens.
• Assist with the planning and execution of Kids Club, summer camp programming, holiday events, family events, teen programming, and other youth-focused activities.
• Coordinate event logistics including schedules, supplies, decorations, activities, food and beverage needs, and equipment.
• Assist with coordinating and directing Youth Activities Counselors and other event staff during youth events and summer camp.
• Greet and engage members and guests in a professional, friendly, and enthusiastic manner.
• Serve as a point of contact for parents and families during youth events and activities.
• Assist with registration, attendance, and sign-in/sign-out procedures for youth programs and events.
• Ensure knowledge of children’s allergies, dietary restrictions, and special needs and communicate relevant information to staff.
• Supervise and engage children and teens during activities while maintaining a safe, positive, and inclusive environment.
• Assist with coordinating children’s meals, snacks, and other food and beverage needs during youth programming.
• Oversee event set-up, decorations, activity stations, and room arrangements prior to events.
• Maintain an organized inventory of youth programming supplies, games, crafts, equipment, and decorations and communicate when supplies need to be replenished.
• Assist with researching and recommending new activities, programs, vendors, entertainment, and event ideas.
• Work closely with other Club departments to ensure successful execution of youth and family programming.
• Communicate effectively with management and staff regarding event details, member feedback, incidents, and unforeseen circumstances.
• Be knowledgeable of and comply, at all times, with the Club’s standards, policies, and regulations to encourage safe and efficient operations.
• Respond appropriately and calmly in emergency situations and follow all Club safety procedures.
• Perform other duties as assigned by management.
• Must be available to work evenings, weekends, holidays, and special events as required.

EDUCATION/EXPERIENCE/SKILLS:

• High school education or equivalent required; college coursework or degree in Recreation, Hospitality, Event Management, Education, or a related field preferred.
• Previous experience working with children, youth programming, recreation, hospitality, events, or a similar environment preferred.
• Must possess CPR and First Aid certification or obtain certification within a designated period of employment.
• Knowledge of Outlook, internet applications, and use of office equipment.
• Strong organizational skills with the ability to coordinate multiple events, tasks, and deadlines simultaneously.
• Creative and enthusiastic approach to developing age-appropriate activities and programming.
• Must enjoy working with children, teens, and families of all age groups.
• Ability to establish and maintain effective relationships with members, guests, clients, vendors, and employees.
• Must possess excellent communication skills including strong verbal, written, and positive interpersonal skills.
• Ability to confidently communicate instructions, gain the attention and cooperation of young members, and lead activities.
• Strong attention to detail and ability to anticipate event needs.
• Ability to work independently while also functioning effectively as part of a team.
• Ability to delegate tasks and provide direction to staff and event team members when necessary.
• Knowledge of and ability to perform required role in emergency situations.
• Must work in a safe, prudent, organized, and professional manner.
• Ability to interact effectively with members, guests, and staff of diverse backgrounds, cultures, and education levels.
• Excellent team player with ability to work hands-on in a fast-paced environment.
• Ability to remain flexible and adapt to changing event needs and schedules.

PHYSICAL AND MENTAL DEMANDS:

• Requires the ability to safely lift items up to 30 pounds.
• Continuous walking and standing during events and programming.
• Be physically able to reach, bend, stoop, and move throughout event and activity spaces.
• Be able to work in a standing position for long periods of time.
• Must be able to convey information clearly to members, guests, children, parents, and staff.
• Must be able to organize, prioritize, and manage multiple tasks and event details simultaneously.
• Must be able to evaluate and select among alternative courses of action quickly and accurately.
• Must maintain composure and objectivity under pressure, particularly during summer camp, busy events or unexpected situations.
• Must be able to maintain a positive and energetic presence while supervising and engaging with children and families.

TYPICAL WORKING CONDITIONS:

Work is performed in both indoor and outdoor settings in a busy, active, and sometimes noisy environment. Some varied weather conditions are expected, including exposure to heat, humidity, cool, and cold weather during outdoor programming and events. The position requires a varying schedule that may include evenings, weekends, holidays, and extended hours based on the Club’s event calendar and business needs.
