Job Summary : The Purchasing Agent I supports the procurement of parts, supplies, and materials necessary for equipment and plant maintenance operations.

This position is responsible for processing purchase requests, sourcing materials, maintaining vendor relationships, and ensuring timely delivery of parts to support operational needs. The Purchasing Agent I independently manages routine purchasing activities, including sourcing, ordering, expediting, and tracking parts and supplies, while collaborating with senior purchasing personnel on more complex sourcing, vendor, and procurement matters. 

This role contributes to efficient procurement processes, cost control efforts, and customer service initiatives while developing the knowledge and experience necessary to successfully manage increasingly complex purchasing responsibilities and advance within the purchasing career path.

 

 

Duties and Responsibilities :

 

• Customer Service & Internal Support:

• • Respond promptly and professionally to internal requests regarding parts availability, pricing, and delivery timelines.
  • Assist mechanics, supervisors, and other personnel with locating and sourcing parts needed to support maintenance and repair activities.
  • Collaborate with team members to prioritize purchasing activities that support ongoing repairs and operational needs.
  • Communicate order status, backorders, and delivery updates to internal customers.
  • Assist in resolving issues involving delayed shipments, incorrect orders, or vendor-related discrepancies.
  • Provide support and coverage for purchasing and inventory functions as operational needs require.

• Inventory Support :

• • Assist inventory personnel by locating and procuring replacement items when required.
  • Support efforts to maintain appropriate stock levels by monitoring purchasing trends and replenishment needs.
  • Assist with inventory audits, stock reviews, and cycle count reconciliation efforts as needed.
  • Help ensure purchasing records, vendor information, and inventory-related data remain accurate and current within company systems.
  • Provide occasional support to Parts Clerk functions during staffing shortages, high workload periods, or special projects.

• Purchasing & Procurement :

• • Research, compare, and purchase routine parts, supplies, tools, and materials from approved vendors.
  • Obtain pricing, availability, and delivery information from suppliers to ensure timely procurement of requested items.
  • Generate and manage purchase orders while ensuring compliance with company purchasing procedures.
  • Monitor open purchase orders and follow up with vendors to ensure timely delivery.
  • Process and document receipts, credits, invoices, and purchasing transactions accurately.
  • Assist with maintaining vendor records, pricing information, and procurement documentation.
  • Maintain professional working relationships with suppliers and service providers.
  • Identify purchasing opportunities that may improve availability or reduce costs and communicate recommendations to senior purchasing personnel.
  • Coordinate with maintenance, inventory, and operations teams to support ongoing business needs.
  • Record receipt details in the Enterprise Resource Planning (ERP) system to accurately reflect products received.
  • Review and address invoice discrepancies within the spend management system and work with vendors to resolve issues.

• Freight Handling & Delivery :

• • Receive, inspect, and verify delivered parts and materials as needed.
  • Ensure proper documentation and tracking of freight receipts, credits, warranties, and core returns.
  • Assist with supplier returns involving damage, incorrect, warranty, or core items.
  • Operate forklifts and material handling equipment as needed and when properly trained.
  • Fill in for Parts Clerk responsibilities as necessary.

• Administrative & Reporting :

• • Assist with inventory counts and purchasing-related reporting.
  • Maintain organized purchasing records and documentation.
  • Prepare reports and information as requested by the Senior Supervisor, Purchasing.
  • Support data accuracy efforts and purchasing process improvement initiatives.

• Safety & Compliance :

• • Valid driver's license with a clean and insurable driving record.
  • Follow all company safety policies and procedures.
  • Ensure adherence to safety standards, including the use of appropriate personal protective equipment.
  • Maintain a safe and organized work environment.

 

Qualifications :

 

• Education :
• High school diploma or equivalent required.

 

• Experience :

• • One to three years of purchasing, inventory management, maintenance support, or related experience preferred.
  • Experience working with purchasing systems, ERP systems, or inventory software preferred.
  • Forklift operation experience a plus.
  • Strong computer and office technology proficiency, including Microsoft Office products.

 

• Skills :

• • Strong customer service and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Working knowledge of purchasing principles and inventory practices.
  • Ability to build effective working relationships with vendors and internal customers.
  • Strong organizational skills and attention to detail.
  • Ability to evaluate pricing, availability, and supplier information to make effective purchasing decisions.
  • Strong attention to safety and the ability to work collaboratively within a team environment.

 

Working Conditions:

• Occasional travel between various company locations and vendor sites.
• Required to work indoors in an office, in a warehouse or shop environment.
• Exposure to outdoor working conditions, including inclement weather, as required.

 

Physical Requirements:

• Regularly lift and carry items weighing up to 60 pounds; occasionally lift and move heavier items with assistance or specialized equipment.
• Frequently perform physical tasks such as lifting items above head height, climbing in and out of pickup truck beds, and maneuvering in tight spaces.
• Perform repetitive motions, including reaching, grabbing, and holding objects for extended periods.
• Work on uneven or rough terrain, requiring balance and coordination.
• Frequently stoop, crouch, kneel, and crawl to access or secure items.
• Maintain the physical stamina to perform continuous loading, unloading, and driving throughout the day.
• Use proper ergonomic techniques and lifting practices to prevent injury during physical tasks.
