Events Program Manager- Freelance

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Events Program Manager - Freelance based in United States.

This role is the central link between clients, warehouse operations, and event production teams, ensuring programs move smoothly from planning through delivery.
You’ll own client relationships, manage logistics, translate changing requirements into clear execution plans, and keep complex programs on schedule.
The role is highly hands-on, with significant involvement in event kit preparation, packing, asset management, and quality control.
You’ll work across fast-moving event environments where priorities can shift quickly and last-minute changes are part of the job.
Your experience in event production will help you anticipate on-site challenges, protect timelines, and ensure every kit arrives complete and ready for use.
You’ll also contribute to improving operational systems and creating repeatable processes as the programs and client portfolio grow.
This is a fully remote contract opportunity with frequent travel to a warehouse facility in Charlotte, North Carolina, and occasional travel to client or vendor locations.

Accountabilities:

• Serve as the primary client contact for production logistics, shipment timelines, specifications, and program updates.
• Manage changing requirements and last-minute requests by assessing impact, reprioritizing work, communicating clearly, and protecting delivery timelines.
• Participate in planning calls, understand event requirements, and translate client needs into actionable warehouse instructions.
• Proactively communicate shipment status, identify potential issues early, and determine when problems can be resolved independently versus escalated.
• Build strong client relationships through confident, patient, professional, and solution-oriented communication.
• Anticipate on-site requirements, including tools, backup materials, assembly considerations, and other production needs based on field experience.
• Oversee event kit preparation, packing, and quality control for displays, branded elements, and activation materials.
• Ensure kits contain all required components and are correctly labeled, organized, and prepared for their specific event environment.
• Direct warehouse team members during daily kit assembly while following pull lists, pack lists, and established procedures.
• Maintain organized systems for complex, multi-component event assets and troubleshoot packing challenges in real time.
• Manage inventory, orders, and asset records within operational systems and flag replenishment or lifecycle requirements.
• Collaborate with event production, operations, and client teams to coordinate program planning and execution.
• Create and maintain documentation for recurring event programs and identify opportunities to improve efficiency and reduce errors.
• Use Google Workspace and warehouse management systems to manage information, workflows, and program documentation.
• Support successful delivery by maintaining clear communication between warehouse teams, production teams, clients, and other stakeholders.

Requirements

• 2–5 years of experience in event production, trade show coordination, experiential marketing, or a closely related field.
• Hands-on experience setting up brand activations, trade show booths, experiential programs, or similar live events.
• Practical production and field experience, including physically assembling displays, managing event assets, and working under time pressure.
• Hands-on warehouse experience and comfort working directly with equipment and physical event assets.
• Experience managing client relationships, particularly with clients who may provide changing requirements, late decisions, or incomplete information.
• Strong ability to remain calm, organized, and solutions-focused when timelines are compressed or plans change unexpectedly.
• Experience owning inventory, orders, and asset records within a dedicated operational or warehouse management system.
• Experience with scenic and fabricated assets, including intake, installation, management, and lifecycle considerations; experience with multi-piece asset collections is valuable.
• Strong understanding of event production terminology and equipment, including tension fabric displays, modular exhibits, retractable banners, and activation elements.
• Understanding of event logistics such as load-in/load-out, venue shipping, drayage, advance warehouses, and different requirements across festivals, controlled venues, and retail activations.
• Ability to anticipate operational issues based on real-world event and field experience.
• Strong client communication skills, with a professional and confident approach in meetings, calls, and written communications.
• Creative and practical problem-solving skills, with a focus on finding workable solutions rather than dwelling on obstacles.
• Strong judgment regarding when to resolve an issue independently and when to escalate it to leadership.
• Strong follow-through, ownership, attention to detail, and schedule awareness.
• Comfortable using Google Workspace, including Sheets, Docs, and Drive.
• Technologically capable and able to quickly learn warehouse management, shipping, and other operational platforms.
• Strong organizational skills and the ability to manage multiple concurrent programs without losing track of details.
• Ability to work effectively in a fast-paced, changing environment while maintaining a high level of professionalism and composure.
• Willingness to be hands-on and travel frequently to the warehouse facility in Charlotte, NC, with occasional travel to client or vendor sites.

• Compensation of $60,000–$75,000 , depending on experience.
