Body Shop Estimator

Description Position Summary The Body Shop Receptionist serves as the first point of contact for guests visiting or contacting the collision repair center. This position provides administrative and guest service support by answering phones, scheduling appointments, coordinating repair updates, and assisting with office duties. The ideal candidate is professional, organized, and guest-focused, with the ability to manage multiple tasks in a fast-paced automotive environment. Essential Duties and Responsibilities Greet guests in a professional and courteous manner, both in person and over the phone. Answer incoming calls, direct inquiries, and provide basic information regarding repair services. Schedule repair appointments and coordinate with estimators and body shop staff. Provide guests with repair status updates and general information. Enter and update guest and vehicle information in dealership systems (DMS). Maintain and organize repair orders, guest files, and office records. Assist with billing, invoices, insurance paperwork, and general administrative tasks. Communicate effectively with technicians, estimators, insurance companies, and vendors. Monitor and respond to voicemail, email, and guest inquiries in a timely manner. Support office supply inventory and maintain a clean reception area. Ensure confidentiality of guest and dealership information. Perform additional administrative duties as assigned by management. Requirements Qualifications Strong communication and guest service skills. Professional appearance and positive, friendly demeanor. Excellent organizational and multitasking abilities. Attention to detail and accuracy in data entry and documentation. Proficiency in Microsoft Office Suite and basic computer systems. Ability to work in a fast-paced environment with frequent interruptions. Basic understanding of automotive or collision repair operations preferred. Ability to remain calm and professional when handling customer concerns. Education and Experience High school diploma or GED required. Prior receptionist, administrative, or guest service experience preferred. Automotive dealership or body shop experience is a plus. Experience with dealership management systems (DMS) preferred. Physical Requirements Prolonged periods of sitting and working at a desk. Frequent use of hands for typing, phone handling, and office equipment operation. Ability to occasionally stand, walk, and lift up to 20 pounds. Ability to communicate effectively in person, over the phone, and electronically. Visual ability to read documents and computer screens. Work Environment Office-based position within a fast-paced automotive body shop environment. Frequent interaction with customers, employees, insurance representatives, and vendors. Moderate noise levels and frequent interruptions are common, with occasional extended hours based on operational needs.
