Advancement Assistant

The Advancement Assistant provides administrative, marketing, and donor support to the Advancement Team while serving as a key liaison to the Finance Team to ensure accurate coding, reconciliation, and donation tracking. This role manages the donor database, supports event planning and execution, assists with engagement strategies and email marketing campaigns, and coordinates volunteer groups and activities. The Advancement Assistant works closely with the Vice President of Advancement and Finance Team to ensure donations are processed efficiently, donors are acknowledged promptly, and fundraising operations run smoothly. The ideal candidate is highly detail-oriented, organized, and collaborative, with strong communication skills, a passion for philanthropy, and a positive, team-focused attitude. Principal Duties and Responsibilities Manage and maintain HVAF’s donor database, Bloomerang, ensuring accurate and up-to-date donor records Promptly and accurately process and log in‑kind gifts and monetary donations and prepare weekly bank deposits Maintain and update email marketing platform, Mailchimp, ensuring data integrity through regular record maintenance and scrubbing Accurately track and enter volunteer hours into Bloomerang and maintain volunteer email records in Mailchimp on a weekly basis Collaborate with the Marketing and Communications Manager and Vice President of Advancement to develop and execute email marketing strategies Monitor and report email campaign performance metrics through monthly email marketing dashboards Serve as the primary point of contact and coordinator for volunteer groups working at HVAF sites Conduct agency overviews and volunteer orientations while ensuring an exceptional volunteer experience that exceeds expectations Work closely with the Finance Team and VP of Advancement to complete accounting reconciliations and maintain accurate records in compliance with auditing and reporting standards Design and manage custom online donation pages and event registration pages via Bloomerang Provide event planning support for annual fundraising events and donor engagement events Manage and monitor the organization’s general email inboxes, ensuring timely and professional communication responses Other duties as assigned Education, Experience, and Skills Required Bachelor’s degree in a related field preferred Must have a valid Indiana driver’s license and be eligible for HVAF’s auto insurance at all times during employment per insurance carrier’s requirements Must be able to successfully complete a background screening with an acceptable outcome Ability to lift, move, and organize materials weighing up to 45 pounds Experience working with donor management databases such as Bloomerang, DonorPerfect, or similar CRM platforms required Strong computer proficiency, including Microsoft Outlook, Word, and Excel, with the ability to quickly learn new software and technology platforms Highly organized with exceptional attention to detail and accuracy Strong time management skills with the ability to effectively multitask, prioritize responsibilities, and meet deadlines in a fast‑paced environment Excellent interpersonal, written, and verbal communication skills with the ability to collaborate effectively with donors, volunteers, team members, board members, senior leadership, and cross‑functional departments Demonstrated customer service experience, including strong telephone communication and problem‑solving skills Ability to work both independently and collaboratively with teams and departments within HVAF, while leading and supporting the overall goals and objectives of the Advancement Department Flexible, adaptable, and willing to assist with a variety of projects and assignments as needed Professional demeanor with the ability to maintain a positive attitude in all situations Strong commitment to HVAF’s mission and a passion for serving veterans and families in need The above statements are intended to describe the general nature and level of work required of this position.
