Project Compliance Analyst

Position Overview

Ultimate Staffing Services is actively seeking a diligent and detail-oriented Project Compliance Analyst for a full-time, on-site position in Pasadena, CA. This role is responsible for managing and establishing new projects, jobs, and contracts within the JD Edwards (JDE) ERP system, ensuring accuracy and compliance across all functions. The successful candidate will work closely with the Reporting Manager and Project Compliance Lead to maintain high standards and streamline processes.

Responsibilities

• Responsible for creating and maintaining address records in JDE.
• Maintain address records and job master data in JDE.
• Maintain and update "Who's Who" contact distribution lists for various departments.
• Create and validate billing "Contracts/Activities" data in JDE.
• Correct and resolve issues with Bid Tracer software used for setting up new jobs/bids.
• Coordinate with the Contracts Department to ensure up-to-date information in JDE.
• Proactively communicate updates that may impact other departments.
• Work with sales personnel to refine new processes and information handling in JDE.
• Establish markers and solutions for common issues across departments.
• Coordinate unique customer processes involving forms, portals, and billing requirements.
• Link category codes on the job master to notify the Purchasing Department.
• Determine coordination needs with Payroll for new job numbers.
• Refine contact distribution lists for different departments.
• Create checklists for departments needing detailed guidance.
• Develop and streamline processes for establishing new projects in JDE.
• Ensure high accuracy in master data entry and question discrepancies.
• Perform other tasks and duties as assigned by supervisors or management.

Qualifications

• High School Diploma or equivalent; an Associate's or Bachelor's degree in business or a related field is preferred.
• 2-3 years of accounting experience.
• Detail-oriented with the ability to maintain 99.9% accuracy in data entry.
• Ability to take direction and work cooperatively with others.
• Proficiency in computer software programs including SAP, MS Word, Excel, and PowerPoint.
• Excellent communication and customer service skills.

Required Work Hours

Monday to Friday, 7:00 AM - 4:00 PM
