The Assistant Director, Case Management and Administration is a student facing role providing support, advocacy, and resources to students in crisis, with high or exceptional needs, or who need additional support. The Assistant Director, Case Management and Administration will oversee the Residence Life portion of the University CARE Network and work with Residence Life staff, Dean of Students Office Staff, and other CARE Network team members to manage referrals for residential students. This position has decision making/problem solving authority for the Residence Life portion of the CARE Network under the guidance of the Director and/or Associate Directors for Residence Life.This Position will report directly to the Director of Residence Life and indirectly to the Associate Directors for Residence Life.The Assistant Director, Case Management and Administration works collaboratively with Housing and Residence Life Staff on HRL Administrative processes to ensure an effective residence life operation to include access and other key areas in need of support. This position also works with campus partners and community resources to develop an ecosystem of care for our residential students.The Assistant Director, Case Management and Administration works in collaboration with other residence life staff members on Crisis Prevention, Conduct support, and proactive education programmatic efforts.This position serves in the On-Call Rotation providing after-hour support to the on-call student staff who provide after-hours support to the residential students.Essential Functions:1.) Case Management, CARE, and Policy EnforcementManage the residence life portion of the university CARE Network, including referral assignments, monitoring and following up on incidents and/or students experiencing distress.Formulate intervention plans designed to minimize and/or resolve student challenges.Provide office support for walk-ins/calls to the department for students of concern/in crisis.Maintain records and updates using the Care Network and Guardian database systems.Review and triage referred incident reports and assigned Care Network reports.Provide non-clinical mental health support and resources to residential students and student staff within residence life.Develop reports that track student challenges, identify trends, and provide recommendations for programming and training for professional and student staff team members.Review the on-call log daily and send via email CARE follow up to Residence Life staff members and escalate appropriate concerns to departmental and divisional leadership.Keep the Director and Associate Directors updated and apprised of active, developing, or emergency situations with residential students.Advocate at the department and university level on behalf of residential students in need of support.Ensure that Residence Life policies and procedures are followed for all incidents and emergencies affecting residential students.Serve as a liaison to American University Police, the office of the Dean of Students, and other constituent groups.Serve on the University CARE Team through attending weekly meetings, providing updates on residential cases, and providing insight on supportive measures Residence Life can provide.Ensure that policies are uniformly, fairly, and consistently enforced.Read and access staff reports on alleged violations of the Student Code of Conduct.Provide services as a hearing officer in violations of the Student Code of Conduct for those cases involving housing policies as needed.Serve as the primary trainer for student staff and university partners as it relates to Residence Life Protocol and Emergency Management, Incident Management, and Residence Life CARE and Case Management.Lead the development and implementation of residential programming and other strategies that support student health, wellness, safety, and success.2.) AdministrationServe as the primary manager for specific Housing and Residence Life systems and administrative processes to ensure operational effectiveness. Some systems include SALTO and CCURE lock systems, StarRez, Guardian, etc.Manage Housing and Residence Life Access in all aspects to include onboarding access, student staff clearance access, removing/adding access, and weekly access audits.Meet regularly with One-Card and Dining to ensure appropriate access/clearance timelines are accurate and reflective of the Housing and Residence Life calendar and needs.Respond to inquiries from students, staff, and families.Work in collaboration with the Operations Team to provide support and assistance in preparation for move in, move-out, and other department wide initiatives.Works in Collaboration with Housing Assignments staff on access related challenges or needs.Serve on various committees within the university.Lead Residence Life committees aimed at advancing and promoting the priorities of Housing and Residence Life.3.) SupervisionHire, train, supervise, and evaluate one or more graduate student staff members.Provide an environment conducive to intellectual curiosity, effective challenge and support, and teamwork.Meet with staff member(s) individually weekly for one-on-one meetings to discuss their performance, provide professional development opportunities, and ensure appropriate cross training of direct reports on the many departmental functions and operations.4.) On-Call Emergency Response/After Hours ResponsibilityThis position will serve as a part of the on-call rotation and provide on-call emergency coverage after hours for the resident population.Respond to a variety of student needs and coordinate a response network within the university as well as department.Provide assistance with after-hours and weekend operational needs as deemed appropriate.As a live-on professional staff member, serve as a designated member of the Student Activism Support Team (SAST) and participates in an on-call rotation to support student activism, expressive activity, demonstrations, advocacy efforts, and other student-led engagement activities.Serve as a visible university representative and resource during planned and emergent student activities, promoting constructive engagement, effective communication, conflict de-escalation, and adherence to university policies and community standards.Provide after-hours and weekend support for student programs, campus events, demonstrations, and other activities that may require university response, coordination, or intervention. Collaborates with campus partners including the AU Police Department, Office of Student Accountability and Restorative Practices, the Office of Inclusive Excellence, and other university stakeholders to support student well-being, campus operations, and institutional response efforts.Support major division and university-wide programs, including but not limited to, Commencement, Family Weekend, Summer Send-Offs, Move-In, New Student Orientation, Family and Supporters Orientation, Student Achievement Awards, and Eagles at Night. As a member of the Division of Student Affairs, this position may advise recognized student organizations as needed. Serves as a member of the Division of Student Affairs Response Team assisting with campus activism management.5.) Other Duties as AssignedSupervisory Responsibility:Directly supervises one or more graduate student staff members.Competencies:Championing Customer Needs.Evaluating and Implementing Ideas.Developing Plans.Making Accurate Judgments and Decisions.Building and Supporting Teams.Position Type/Expected Hours of Work:Full-time.35 hours per week.On-campus living and availability for after-hours and weekend response is required.Attendance at campus functions, student programs, and after-hours emergency response is often required.Salary Range:$58,946.00 - $60,000.00 annually, plus housing.The compensation package for this position includes a furnished apartment, all utilities paid (local phone, electricity, cable, internet access). All apartments are equipped with a washer and dryer.Required Education and Experience:Bachelor's degree or equivalent in higher education, student affairs, counseling, social work, or related field.2 - 4 years of relevant experience.Minimum of 2 years experience within residence hall leadership, residential curriculum and/or program development and crisis management.Minimum of 2 years experience working in residence life supporting students in crisis, emergency management, students with exceptional needs, and/or students in need of specified care.Minimum of 2 years experience managing or leading administrative processes and systems that ensure an effective residence life operation.Preferred Education and Experience:Master's degree or equivalent.3 - 5 years of relevant experience.Additional Eligibility Qualifications:Full-time supervisory experience.Knowledge of student development theory and its application, the law and higher education, case management models, evidence of an effective leadership style, and a background demonstrating success in working with students, parents, administrators, and faculty.Knowledge of current national research and trends regarding college student basic needs insecurity and under-served populations.Knowledge of current national research and trends regarding non-clinical case management, holistic residential student wellbeing, and building support and care plans for college students.Ability to effectively engage with committees, coalitions, and administration and community agencies.Working familiarity with Microsoft Office Suite.Working familiarity with Guardian software.Well-developed written, speaking, organizational, time management, and interpersonal communication skills.Flexibility and the ability to work outside of traditional business hours (i.e. M - F, 9a - 5p).Other Duties:Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
