Accounts Payable Specialist

Job Description Job Description Looking to join a growing contractor on the east-side with multiple locations where your work directly supports day-to-day financial operations? This family-oriented team is seeking an Accounts Payable Specialist to help keep vendor payments, invoices, and financial records running smoothly in a collaborative, in-office environment. If you're organized, detail-focused, and experienced in accounts payable, we'd love to hear from you. Responsibilities * Manage the full accounts payable process, including invoice verification, matching invoices to purchase orders, and preparing payments. * Receive, review, and process invoices from vendors and subcontractors accurately and on time. * Maintain vendor records, including W9s, COIs, and other required documentation. * Monitor expense reports to ensure compliance with company policies. * Prepare and schedule payments while ensuring deadlines and payment terms are met. * Reconcile vendor statements and research discrepancies when needed. * Respond to vendor inquiries and maintain strong communication regarding payment status. * Maintain organized financial documentation and filing systems. * Assist with 1099 tracking and year-end reporting requirements. * Support month-end close activities and provide data to the finance team. * Maintain equipment rental records and coordinate with operations and vendors as needed. * Identify opportunities to improve AP processes and efficiency. * Reports to the Chief Financial Officer. Qualifications * Accounts payable or accounting experience required. * Experience in construction, contracting, or a similar industry preferred. * Strong attention to detail with a focus on accuracy and organization. * Ability to manage multiple tasks and meet deadlines in a fast-paced environment. * Strong communication skills for working with vendors and internal teams. * Familiarity with tax documentation, such as W9s, COIs, and 1099s. * Strong problem-solving skills with the ability to identify and resolve discrepancies. * Ability to work both independently and as part of a team. * Experience with construction accounting software (such as Foundation or similar systems) is a plus. * Education background in finance, accounting, or a related field is a plus.
