Event Coordinator

Order office supplies for sales office as directed by DOS

Prepare sales kits for sales team

Create banquet room door signs for groups in meeting rooms as well as maintain the reader board in the lobby with all group functions

Efficiently sort and distribute mail for the hotel

Collaborate with clients to understand their specific event objectives and requirements

Develop customized event orders, including detailed budgets, timelines, and layouts

Coordinate with various hotel departments, such as catering, audio-visual, and housekeeping, to ensure seamless execution of events

Provide exceptional customer service, promptly addressing client inquiries, concerns, and special requests

Conduct site visits and pre-event meetings to ensure all details are accurately communicated and executed

Oversee the setup and breakdown of event spaces, ensuring they meet the client's specifications and exceed their expectations

Anticipate and resolve any operational challenges or issues that may arise during events

Assist hotel group guests to ensure a successful event by being the housing and billing contact from pre-arrival through departure; providing excellent service and hospitality following the brand guidelines

Process all reservation requests, changes, and cancellations received by phone, fax, or mail

Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate

Explain guarantee, special rate, and cancellation policies to callers. Accommodate and document special requests. Set-up proper billing accounts (i.e. share-with, room/tax/incidentals, tax exempt, direct/special billing, and group bookings) according to accounting policies. Work closely with various departments and outside entities to achieve successful groups from pre-arrival through final bill

Physical Requirements (In-Office Role) Ability to work in a standard office environment. Prolonged periods of sitting at a desk and working on a computer. (6-8 hours a day) Occasional standing and walking throughout the workday. Frequent fine motor skills, use of hands and fingers for keyboarding/typing, utilizing a mouse or trackpad, writing, and operating office equipment. Ability to communicate effectively verbally and in writing. Occasionally required to stand, walk, bend, reach, or carry items. Ability to lift and/or move 1025 pounds as needed (e.g., files, office supplies). Visual ability to read from a computer screen and printed materials including close visual focus for extended periods and color differentiation (for certain roles).
