Commercial Flooring Administrative Project Manager Job Overview

We are seeking a detail-oriented and organized Commercial Flooring Administrative Project Manager to join our team. In this role, you will provide vital administrative and operational support across all phases of commercial flooring projects-from initial bid negotiations and award through final completion. Working closely with Account Executives, Upper Management, Project Coordinators, and installation/field teams , you will help manage project documentation, track timelines, maintain project financial success, and ensure accurate communication across all stakeholders.

This is an excellent entry-level opportunity for a proactive professional eager to build a career in commercial construction and project management .

Take ownership of awarded projects, setting up job files, establishing project schedules, and organizing all contract documents for seamless execution.

Review revised architectural plans, specs, and field condition reports to identify scope changes. Measure plan revisions (using tools like RFMS Measure) and accurately calculate labor, material, and markup costs to submit formal change orders to owners and general contractors.

Maintain complete project records, including submittals, Requests for Information (RFIs), field work authorizations, change orders, and closeout packages.

Coordinate purchase orders, track material lead times and deliveries, and verify that job-site deliveries match approved submittals and schedules.

Monitor active job budgets, track change order approvals, and assist with monthly progress billings to ensure all additional work is accounted for and billed properly.

Maintain constant communication with field supervisors, flooring installers, and subcontractors to resolve field issues promptly and document scope deviations in real time.

• Degree in Construction Management, Business Administration, or equivalent practical experience/internships in commercial construction or trade contracting.

• Ability to read and interpret construction blueprints, architectural drawings, and finish schedules.

• Exposure to or strong aptitude for construction takeoff software (e.g., RFMS Measure, PlanSwift, or similar tools).

• High proficiency in Microsoft Office Suite, particularly Excel for cost modeling and change order pricing.

• Exceptional detail orientation and numerical accuracy.

• Strong negotiation and clear written communication skills for writing formal RFIs and change order requests.

• Strong problem-solving abilities to identify potential cost impacts from plan updates early.

• In-depth, hands-on training in commercial flooring materials, installation methods, and change-order pricing strategies.

• Clear pathways for professional growth into Senior Project Management or Estimating roles.
