Job Summary We are seeking a Bilingual Spanish Receptionist for an opportunity in Novato within a professional legal services environment. The Bilingual Spanish Receptionist will support the daily operation of the front desk and reception area while helping maintain a welcoming, organized, and efficient office environment. Key Responsibilities Open and close the front lobby each business day according to established office procedures. Answer and route calls through a multi-line telephone system while providing excellent customer service to callers. Greet clients, visitors, and vendors in a professional and friendly manner and assist them as needed. Review, route, and maintain incoming faxes, fax routing guides, hand deliveries, mail, forms, logs, and related administrative materials. Schedule conference rooms and interview rooms, monitor usage, and prepare meeting spaces for appointments, depositions, and internal meetings. Assist with administrative and legal support projects such as data entry, scanning, mass mailings, and other assigned tasks. Compensation and Benefits Compensation: $25.00 per hour. Required Qualifications and Skills Manage front desk reception duties, including greeting visitors, answering phones, and routing calls. Support daily administrative operations, including fax routing, mail support, conference room scheduling, and document handling. Assist with legal office projects such as data entry, scanning, and mass mailings. Maintain a professional, organized, and client-focused reception area. Fluent in Spanish and English. 1 to 2 years of relevant reception, administrative support, or customer service experience preferred. Some college preferred. Strong computer skills and the ability to learn office systems and procedures. Professional appearance, friendly communication style, and excellent customer service skills. Ability to multitask, stay calm under pressure, and manage competing priorities. Dependable, punctual, organized, and motivated to learn. Ability to handle confidential information and interact professionally in a legal services environment. Preferred Qualifications Prior experience in a legal office or professional services environment. Familiarity with legal documents, legal terminology, or law firm administrative procedures. Experience operating a multi-line phone system or switchboard. Experience supporting conference room scheduling, mail routing, scanning, or document management tasks.
