Administrative Support Specialist
Location: Marion County, FL
Pay: $18.24/hour
Schedule: Monday – Friday, 8:00 AM – 5:00 PM (1-hour lunch)
Job Type: Temporary / Contract
About the Role
We’re hiring a Staff Assistant III to support a Marion County department with day-to-day administrative operations. This role is ideal for someone highly organized, detail-oriented, and comfortable managing multiple priorities in a structured office environment.
This position will follow a consistent Monday–Friday schedule year-round to ensure office coverage, even when other staff transition to summer hours.
Minimum Qualifications
- High school diploma or GED
- 3+ years of administrative, clerical, or secretarial experience
- Strong proficiency in Microsoft Office, especially Excel and Outlook
- Experience scheduling meetings and managing calendars
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment
- Excellent communication and customer service skills
Preferred Experience
- Experience in a government or public sector environment
- Background in budgeting, purchasing, or accounts payable
- Experience handling confidential or sensitive information
Key Responsibilities
- Provide administrative and secretarial support to department leadership
- Prepare reports, correspondence, meeting minutes, and documentation
- Manage calendars, schedule meetings, and coordinate interviews
- Handle purchasing, accounts payable, and track budget activity
- Process boot reimbursement requests and maintain related records
- Organize legal agreements and maintain accurate filing systems
- Maintain and update the emergency response manual (including hurricane season readiness)
- Scan and organize engineering and departmental documents into shared drives
- Coordinate travel arrangements for staff
- Process work orders and coordinate with other county departments
- Answer phones, greet visitors, and provide professional customer service
- Provide feedback on office processes and support continuous improvement efforts
Additional Requirements
- Valid Florida driver’s license
- Ability to pass background screening (if required)
- Notary Public certification may be required depending on assignment
