Staff Assistant IIThe Staff Assistant II provides administrative support to the Utah Cooperative Fish & Wildlife Cooperative Research Unit, serves as Office Coordinator for the Wildland Resources Department, and functions as Building Coordinator for the Natural Resources building.Responsibilities50% Utah Cooperative Fish & Wildlife Research Unit Staff AssistantMonthly reporting to federal headquarters, clerical assistance for travel, scheduling and correspondence, tracking of expenses, data entry, and deadline compliance.The staff assistant performs a variety of administrative support duties in support of the Coop Unit leaders and staff. Typical functions include but are not limited to:Performs office coordination duties, including scheduling, filing, preparing paperwork, ordering supplies, and/or managing inventoriesSeeks ways to improve efficiency of services and develops processes to streamline proceduresMaintains and creates Digital Measures contentSubmits and tracks unit business transactionsWrites, edits, and coordinates the development of promotional materials, educational materials, training manuals, newsletters, and/or brochuresCoordinates Unit activities, conferences and eventsTrains and guides student employeesProvides training, instruction, and/or consultation to students, faculty, and/or staff in the use of specialized servicesSubmits monthly budget reports to federal headquartersSchedules and coordinate meetings, events, interviews, appointments and other similar activitiesRepresents the Coop in a positive manner with students, staff, faculty, and the communityPerforms other job-related duties as assigned50% Wildland Resources Department Office Assistant & Natural Resources Building CoordinatorThe staff assistant performs a variety of administrative support duties to maintain a high-functioning Wildland Resources Department office, and provides oversight and stewardship of the Natural Resources Building. Typical functions include but are not limited to:Coordinates/schedules NR atrium and patio useResponds to building issues as they arise;Issues building related announcements to faculty and staffLiaison to Fire Marshall; Safety OfficerOrganizes building, office, and lab access by preparing key requests for faculty, staff, and studentsCoordinates and tracks users of WILD and COOP fleet vehicles; compiles and documents trip reports; issues keys to vehicles as appropriateMaintains WILD tagged equipment inventory records and submits annual reportsMaintains NR 206 office copier, office & clerical suppliesOrganizes and distributes WILD faculty and staff mail, packagesAssists with WILD department events & functionsRepresents the WILD department in a positive manner with students, staff, faculty, and the communityPerforms other job-related duties as assignedQualificationsMinimum Qualifications:Two years of experience in an office setting or an associate degree/vocational training is required.Preferred Qualifications:Bachelor's degree; education or prior experience in a natural resources disciplineKnowledge, Skills, and Abilities:Skilled with computers and related software.Skilled with basic office equipment, including printers, copiers, and telephone systems.Good organizational skills.Strong verbal and written communication skills.Ability to handle sensitive and confidential business data and personal information.Ability to work without supervision.Knowledge of University policies and procedures.Excellent customer service skills.Required DocumentsAlong with the online application, please attach:Resume to be uploaded at the beginning of your application in the Candidate Profile under "Resume/CV"Cover letter to be typed/pasted at the end of your application**Document size may not exceed 10 MB.**Advertised SalaryCommensurate with experience, plus excellent benefitsADAEmployees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.
